Position: Litigation Secretary
Location: Century City, CA (Hybrid, 3 days onsite)
Pay: $80,000 to $105,000 annually
Experience: 5+ years of providing legal administrative support in a pool setting to a group of attorneys and be assigned to primarily assist one attorney with filing/eFiling in state and federal courts.
Education: Bachelors Degree preferred; prior experience in Venture Capital and Emerging Companies, preferred.

Job Description:
- Communicate effectively and professionally with clients, lawyers, and staff via email, telephone, and in-person; arrange conference calls/greet clients.
- Create, format, edit, proofread, and manage Word documents, Excel spreadsheets, and PowerPoint presentations.
- Draft routine legal correspondence and forms for filing/eFiling with state and federal courts.
- Answer questions from clients and staff and route calls.
- Enter/manage work requests from attorneys in the workflow tool and complete them according to the provided deadlines.
- Manage attorney calendars (scheduling appointments, depositions, meetings, hearings, and closings).
- Schedule domestic and foreign travel through a firm travel system including logistics.
- Prepare, organize, and process reimbursements, invoices, and check requests.
- Collect and prepare information to run conflict checks, open new client matters, and draft engagement letters and other required documents; provide guidance to lawyers so completed forms are submitted properly.
- Open, prioritize and distribute mail/email; coordinate mailings, deliveries, copying, scanning, and printing.
- Perform routine filing, photocopying, scanning, compiling, and distributing of documents.
- Identify/coordinate available services provided by administrative departments (office services, helpdesk, IT, word processing, accounting, billing, and records).
- Assist attorneys with time entry, billing, and collections; and file maintenance, including saving documents to iManage.
- Operates independently to ensure completion of assignments are completed in an accurate and timely manner.
- Produces a high volume of work assignments in an accurate and timely manner.
Position Requirements:
- Advanced knowledge of Microsoft Office (Word, Excel, Outlook) and Adobe, iManage experience is a plus.
- Experienced in conflicts/business intake process; Calendar management/meeting scheduling support.
- Must have experience with business travel arrangements.
- Experience with electronic signature software programs and document management systems.
- Ability to work in a fast-paced environment with demonstrated ability to coordinate multiple competing tasks and demands.
- Superb attention to detail, grammar, and punctuation, and able to articulate thoughts and effectively present new ideas.
- Ability to take direction, work independently with little supervision, and effectively work well with others.
- Effective and professional interpersonal and communication skills; Ability to write clearly and professionally, with excellent proofing skills.
- Strong work ethic with the ability and commitment to maintain confidentiality.
