Mail Administrator
We are seeking two skilled Mail Administrators for a position within the insurance industry. This role is essential to managing the US Division Mail Services operation, ensuring that all mail processes are handled accurately and efficiently. The ideal candidates will possess a keen attention to detail and the ability to provide exceptional customer service while handling sensitive information.
What is in it for you:
• Fixed Salary: Hourly rate of $23.62.
• 6-month contract.
• Full-time position: 37.50 hours per week.
• Work Schedule: 8:00 an to 4:00 pm EST – in office.
Please note, the schedule may shift to 7:30 am to 3:30 pm EST in the future.

Responsibilities:
• Manage all incoming and outgoing Advisor mail for the US Division Mail Services operation accurately and efficiently.
• Handle, sort, scan, and index incoming mail for the US Division and manage outgoing mail through the Fulfilment Centre.
• Provide quality customer service and support to the Admin Group through business unit initiatives and production.
• Adhere to service levels determined by the Business Unit’s requirements and standards.
• Receive, open (as applicable), sort, prep, scan, and index all incoming mail, output, and courier to various business units within the US Division.
• Prepare, sort, and ship all outgoing mail and couriers.
• Handle the final processing of troubleshooting mail, which involves a higher level of knowledge and skill, as well as processing inbound bulk mail, stats, and daily workflow.
• Train new staff within the Imaging and Fulfilment center.
• Cross-train among three different groups: Statement, Imaging, and Fulfilment.
• Handle sensitive PII data with care and ensure no use of cell phones during shifts on the floor.
What you will need to succeed:
• College education preferred.
• 1 year of experience with imaging and indexing systems.
• Previous experience with scanning, indexing, and mail sorting.
• Previous experience working with mailing equipment, folder inserters, and postage meters.
• Proficiency in Microsoft Office and Outlook.
• Precise communication skills, both verbal and written.
• Strong organizational skills for multitasking and prioritizing in a high-volume, deadline-driven environment.
• Attention to detail.
• Strong analytical and problem-solving skills with a demonstrated ability to manage change.
• Ability to meet the physical requirements of the job, including heavy lifting up to 20 lbs and standing for up to 4 hours a day.
