Job Title: Maintenance Administrative Assistant
Answers To: VP of Operations & Chief Engineer
Job Purpose:
Acting as a liaison between the Chief Engineer and other parties. This job is distinguished from similar jobs by the following characteristics: required initiative, organizational problem-solving skills, ability to acquire knowledge of program operations, policies and procedures. Organizational skills are a must to ensure proper supplies are always available for the daily workorders.
DUTIES & RESPONSIBILITIES:
- Keep track by monitoring Daily Work Reports for Maintenance Employees
- Pricing for all billable workorders to be completed daily with weekly meetings with the accounting department to ensure proper billables.
- Organize parts and inventory items as needed
- Contact vendors as needed
- Schedule of department weekly
- Keep track of ongoing and upcoming projects
- Maintaining price lists quarterly
- Shop inventory
QUALITIFICATIONS:
- Knowledge of Microsoft Excel and Word
- Skill in the use of computers and related equipment in a stand alone or local area network environment
- Skills are required to perform multi tasks with a need to periodically upgrade skills to meet changing job conditions.
- Flexibility is required to independently work with others in a wide variety of circumstances
- Problem solving is required to analyze issues and create action plans
- Organizational skills to monitor & track part intake and usage
REQUIREMENTS:
- Able to lift and/or carry 25 pounds or more
- Able to sit at a desk comfortably for extended periods of time
- Able to see and read on computer screen and paper
- Able to use hands and fingers to operate office equipment such as a computer, copier, phone and calculator
- Able to work in a constant state of alertness and safe manner
