About the Job
The Manager-Executive Assistant plays a vital role in supporting the CEO/President of Baptist Health Care (BHC) and the SVP of Strategy and Business Development/Baptist Hospital Administrator, BHC’s governance structure and the efficient management of the Baptist Hospital administration and Baptist Health Care corporate administration offices. This position ensures effective and efficient use of time, energy, and effort of leaders through complex calendar management, managing logistics, preparations, and execution of meetings and special events, and leading multiple special projects. This role supports BHC’s governance structure through multiple functions including but not limited to managing preparations for board/committee meetings, serving as Board Secretary, supporting board member management and engagement, supporting recruiting efforts of the nominating committee, coordinating the annual governing body evaluation process, the annual conflict of interest process, and annual board compliance education. This position supervisors’ other executive assistants as designated.
This role may be required to remain on campus immediately before, during and after severe weather and/or disasters.
Qualifications:- Associates Degree required
- Five years (5) years executive assistant experience is required. Previous supervisory experience is required.
- Notary public required.
- Proven track record of working with corporate board structures and committees.
- Strong ability to use feedback for proactive process improvement; ability to withstand the pressure of working in a fluid, deadline-driven environment.
- Outstanding versatility and flexibility, with a high degree of comfort changing and refining priorities and targets, excellent interpersonal skills, and ability to work well with all levels of internal management and staff, board members, outside customers, and affiliates.
- Continual attention to detail in establishing priorities and meeting deadlines with ability to identify and address nuanced business needs.
- Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
- Handles matters expeditiously and proactively. Keen sense of discretion, critical thinking ability, sound judgment, diplomacy, professional demeanor, tact, and ability to maintain confidentiality.
- Ability to be self-sufficient, work independently, make educated decisions, and follow through on projects to successful completion.
- High level of proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Sharepoint and Teams) and other applications.
- Excellent comprehension/written/oral communication skills.
- Ability to leverage brevity and succinctness to support information flow. Ability to read, analyze, and interpret common financial reports, and business documents.
- Ability to write business correspondence and reports that conform to prescribed style and format.
- Ability to effectively present information to top management, members of the public, and/or volunteer leaders.
