POSITION SUMMARY:
Under the general direction of the Director of Professional Operations and in collaboration with the Administrative Director, Chair and Vice-Chairs, the Manager of Administration and Professional Operations will partner on administration of faculty services and provide a high level of complex administrative support to 110+ faculty members.
Under the general direction of the Administrative Director and in collaboration with the Chair and Vice-Chairs, the Manager of Administration and Professional Operations will partner on administration of faculty services and provide a high level of complex administrative support to 60+ faculty members.
The Manager will be a key member of the administrative team and serve as a point person for professional operations. He/she will assist with ongoing operational management, faculty support, budget management, and internal and external communications. Responsibilities include planning and supporting the faculty administration of a complex department, which includes clinical, research, and educational activities. This position requires a flexible, proactive, independent and results-oriented individual who will demonstrate leadership in resolving issues, have unquestionable integrity, have the ability to communicate effectively with faculty, staff, and individuals at all levels within the organization. The incumbent will have the ability to build relationships and trust with all constituents, highly-developed interpersonal skills, the ability to multi-task, and the ability to manage time effectively.

ESSENTIAL RESPONSIBILITIES / DUTIES:
- Lead departmental support of faculty including clinical effort, salary, benefits, time off balances, and leaves.
- Support faculty recruitment including the development of business plans, offer letters, and coordinating the hiring process with BUSM HR.
- Support the onboarding and orienting of new faculty and core Department staff.
- Work with faculty members to determine annual clinical commitments, salary supports and contracts, using this data to development individual faculty salary sheets.
- Assist in the development of the annual Department budget.
- Manage all faculty requests related to family and medical leaves including any corresponding use of earned time. Liaison with BUSM HR and 3rd party leave vendor.
- Serve as primary administrative point person for Qgenda including roster review and any updates to schedule components. Collaborate closely with Senior Administrative Coordinators who build the schedules as well as with Clinical Leads to ensure schedules are aligned with compensation plans and are built according to department algorithms.
- Support the department's value-based physician compensation system, including quarterly reporting and annual settlement reconciliation.
- Partner with the research finance administration team to support the exchange of timely and accurate information related to faculty research salary and effort support, including coordination of annual salary letters.
- Serve as the liaison to the BUMG for the documentation required for any audits.
- Performs other duties as needed.
- Share in supporting payroll transactions and management.

JOB REQUIREMENTS
EDUCATION:
- Bachelor's degree in Business Administration or a related field, or equivalent.
CERTIFICATES, LICENSES, REGISTRATIONS REQUIRED:
- None
EXPERIENCE:
- At least 3 years of relevant administrative work experience ideally in an academic medical center setting. SAP and/or Qgenda experience helpful.
KNOWLEDGE AND SKILLS:
- Strong interpersonal skills, a high degree of organizational skills and demonstrated ability to use sound judgment. Must have the ability to promote teamwork and a strong customer service ethic to supervised personnel.
- Ability to prioritize and manage high volume and complex transactions in a fast-paced environment.
- Confidentiality and meticulous attention to detail is very important.
- Strong computer skills, including knowledge of Microsoft Access, Word, Excel and Power Point.
- Skill in problem solving and conflict resolution.
- Strong oral and written communication skills.
- Demonstrated ability to work in a fast paced environment with strict deadlines, to manage multiple priorities, and to delegate where appropriate.
