Essential Functions:
+ Manage and maintain Superintendent’s schedule
+ Manage projects and events as necessary, such as Board meetings, parades, Convocation, Leadership retreats, budget book publication, and others as they arise
+ Staff liaison to the Board of Education, preparing agendas and minutes for Board and committee meetings, meeting posting requirements, arranging necessary materials, equipment, and spaces needed for meetings; act as Secretary to the Board of Education members, as necessary and requested by the administration
+ Creation and editing of large projects, including the District’s annual budget book, State of Our Schools report, Strategic Plan, District Newsletter, etc.
+ Preparation of PowerPoint presentations for Board and various meetings as needed
+ Attend Board of Education meetings, set up, break down for meetings, record information, and prepare meeting minutes
+ Using the District’s messaging platform, send time-sensitive messages on behalf of the district, including school cancellations, delays and early dismissals
+ Draft communications for dissemination to students, staff, and families
+ Handle FOIA and FERPA requests as needed
+ Manage all office functions for the Superintendent’s office, including records, budgets, personnel issues, form/survey creation, ordering, basic bookkeeping, reports, information retrieval, etc.
+ Handle requests from parents/families by phone and in person with tact and diplomacy, and follow up as needed until a resolution is reached
+ Greet visitors and determine whether they should be given access to specific individuals.
+ Conduct research, compile data, and prepare papers for consideration and presentation by administration, committees, and/or the Board of Education for various matters including grievances, contract negotiations, discipline, etc.
+ Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution; handle routine correspondence independently
+ Serve as contact and reference source for staff, students, parents and the public
+ Maintain respect at all times for confidential information
+ Attend meetings and events as needed
+ Work with outside agencies as necessary in furtherance of the district’s initiatives
Other Duties and Responsibilities:
+ Interact with the public, administration, staff, students, and media with tact and diplomacy
+ Promote good public relations by personal appearance, attitude and conversation
+ Coordinate operational activities
+ Explain regulations, policies and procedures
+ Perform other related duties as assigned by Superintendent
Qualifications/Certificates:
+ Associate’s Degree, Bachelor’s Degree preferred
+ 5+ years executive level administrative assistance experience
+ 5+ years school related experience preferred
+ Alternative to the above qualifications as the Windham Public Schools may find appropriate
