POSITION OBJECTIVE
Working with a high degree of independence and under the general direction of the Associate Vice President for Strategy and Operations within Campus Planning & Facilities Management, the Manager of Harcourt House and Strategic Business will provide daily oversight of Harcourt House along with leadership, management and direction for strategic business initiatives within the division of campus planning and facilities management. The manager will manage the President¿s residence (Harcourt House) which includes administering oversight of the maintenance and operations at the property and supervising the executive housekeeper. Serve as the main point of contact for university departments and vendors who provide services to the residence. Provide overall administrative expertise for a variety of strategic business functions, including planning, financial management, budget development, asset management, process improvement and other functions related to the business operation of the division. Functioning as a resource for strategic business initiatives and as a business advisor exercising discretion and independent judgment for the continuous improvement of the organization. The position has authority to accomplish major objectives, investigate and resolve matters on behalf of the division leadership, and has the authority to formulate, affect, interpret, or implement management policies or operating practices.
ESSENTIAL FUNCTIONS
Manage Harcourt House, the university-owned residence of Case Western Reserve University¿s President and family. Duties include oversight of all internal and external maintenance and operations on the property. Serve as the main point of contact for university departments and vendors who provide services to the residence and be present at the residence whenever required. Proactively identify and resolve any issues at the residence including landscaping, grounds, facility systems, basic preventative and reactive maintenance, and any other operational needs. Coordinate all work through the responsible university department and their vendors and ensure that the level of service provided meets the highest standard. Keep the Harcourt House operations manual and maintenance calendar current to ensure university departments are aware of upcoming events. Coordinate with the Office of Donor Relations and Events so that all events at Harcourt House are added to the calendar and have the necessary operational support to ensure a successful event experience. (50%)
Serve an active role on the leadership team by assisting with the development of long- and short-term departmental strategic plans. Define and evaluate strategic alternatives through the utilization of financial reports and recommend courses of action. Comprehensively review procedures to gain efficiency, effectiveness, and to continuously improve the division organization. Advise senior leadership on matters of importance to the business operation, help prioritize actions and execute business strategies for success. Analyze trends in monthly budget and operations reports and track measurable key performance indicators throughout the organization. Consolidate results, outputs, and updates from key projects, programs, or strategic initiatives, and provide analysis of milestones achieved in written and graphic report form to leadership. Provide potential solutions to address issues with business operations. (20%)
Directly supervise the executive housekeeper for Harcourt House to ensure that the day-to-day cleaning schedule and custodial standards are maintained to the highest level. Determine staffing needs, maintain the executive housekeeper job description, and update the day-to-day task list as needed. Define and assign individual tasks, maintain schedules and standards, conduct performance reviews, and administer disciplinary action, if ever required. (10%)
