We’re looking for a Manager, Port Operations to help lead our efforts in managing port operation functions within assigned regions of the world for the HA Group portfolio of brands. The overarching responsibilities entail the planning, operational execution and related analysis of port operations and logistical arrangements associated with support of the ships while in port.
The role is inherently cross functional, making collaboration a “must-have” and critical to the team’s success. Port Managers will work closely with external partners globally, the ships and commercial leadership in each brand. Port Managers need to balance multiple priorities across the portfolio of brands and destinations.

Responsibilities
- Provide oversight for vessel support operations while in port.
- Coordinates all activities by port agents worldwide to ensure all preparations and confirmations are in place prior to a ships' arrival.
- Coordinates the stevedoring and/or labor arrangements for luggage and provisioning operations.
- Manages the labor manning to control overall costs and ensure optimal efficiency.
- Oversees coordination of waste offload process, to include approval of Waste Management System requests from vessels.
- Arranges shore side security functions for the ships based on requirements of each port. Works directly with third-party security companies and personnel on staffing and equipment needs.
- Acts as direct liaison between cruise lines and government officials (customs, immigration, agriculture), to ensure efficient clearance of vessels and guests. This includes arrangement of enroute inspections, as necessary.
- Planning vessel operations, prior to port calls.
- Development and maintenance of standard operating procedures for all turn ports.
- Responsible for relationships with port agencies, to include day to day operations, training and audit of performance. Also, to include updating contacts and maintaining detailed information on ports and harbor costs worldwide. Ensures that the ships and agents update information.
- Requesting and confirming berth reservations and port arrangements based on ship itineraries worldwide-- through third party vendors or through the assistance of a port agent.
- Work with charters and incentives group for special arrangements, as necessary.
- Periodically travel to ports to audit operations for improvements and efficiencies.
- Availability for Emergency Response Operations, via duty rotation, as assigned.
- Management of port shuttles, including logistical assessments for need and review of associated costs.
- Work with technical and nautical groups for dry/wet docks and special projects, as necessary.
- Make arrangements for irregular operations, such as: NLV, late arrivals, late sailings, strikes, charter requests, canceled flights, inaugural and special events.
- Ensure that correct information is posted and updated throughout the many information repositories (documents, web site, eFleet, Homeport, etc.).
- Work with the deployment and itinerary planning teams to identify any potential itinerary improvements or required changes.
- Financial control and cost management
- Accountable for managing operational costs to Plan and Fcst and ongoing forecast accuracy.
- Acquire new tariffs, monitor proposed cost changes and establish service levels to minimize costs and obtain savings opportunities where possible.
- Review invoices for accuracy and correct backup support before approval.
- Communicating operational changes which will impact costs to the finance group.
- Assist Global Sourcing team in bidding out port related services to achieve most favorable costs and service levels.
- Assists in preparing creation of annual plan by ensuring tariffs are updated, accurately calculated and complete for all port costs.
Requirements
- Bachelor’s degree preferred, or equivalent work experience in related area.
- 5 years of port operation, shipping or logistics, or relevant cruise industry experience preferred.
- Proficient in software applications including MS Word, Excel, PowerPoint
- Intermediate to advanced experience with MS Excel creating pivot tables and macros.
- High comfort level with sophisticated applications.
