About the Job
RESPONSIBILITIES
- Greet visitors and handling inquiries from the public and members; answer telephone; take messages and notify Executive Director of messages, requests and inquiries; maintain image of company by example and upmost professionalism.
- Performs general secretarial duties – Filing, scanning, faxing, as well as preparing general correspondence. Includes preparing monthly meeting minutes and agenda
- Maintain up-to-date filing system of every member; maintain accurate filing system of all invoices and bills paid.
- Maintain office inventory and equipment ensuring all equipment is in working order (Pitney Bowes postage meter, RICOH copier, Clover Flex credit card machine). Order office supplies; monitor postage on PB meter.
- QuickBooks ~ Executive Director handles A/P; assistant enters checks into QB’s; reconciles deposits and monthly bank statement
- Prepare and e-mail notices for all organization events
- Assists Executive Director with special projects and any other events, activities or programs. (may include designing fliers; sending e-mail notices; recruiting attendees or teams; invoicing for events; seating charts, etc.)
- Organization e-Newsletter ~ weekly e-newsletter sent to membership using Constant Contact. Compile info for newsletter
- Social media ~ Knowledge of Facebook; Instagram and X.
REQUIRED ~ Excellent Communication Skills – ability to multi-task; good knowledge of grammar, composition, spelling and punctuation; good time management skills; strong knowledge of general office procedures and office equipment; good analytical skills; excellent customer service telephone skills; accurate typing skills; proficiency with computer programs including (Word, Excel and Adobe Acrobat).
Software ~ Knowledge of Word Press (to make changes/updates to website); Dropbox; QuickBooks; Microsoft Outlook.
