The primary responsibilities of this position are working collaboratively with the Marketing Director, marketing team, principals and associates of the firm to develop and execute proposals for work with both public and private entities, as well as assemble qualifications packages and review fee proposals.

- This is a non-exempt position. All overtime hours are paid at a time-and-a-half hourly rate.
Responsibilities and Abilities
- The Marketing Coordinator is part of the Marketing Team reporting to the Director of Marketing.
- The Marketing Coordinator will perform tasks alongside other members of the Marketing Team in order to serve the business needs of the office
- Ability to utilize InDesign templates and assist in maintaining digital asset libraries.
- Collaborate with the marketing team to plan and execute prime proposal submissions for public agencies and private companies.
- Participate in the proposal submission process and engage in go-no-go decisions.
- Develop marketing collateral; plan and organize promotional brochures, presentations, and recruiting material.
- Primary marketing point of contact for coordination with clients for qualifications and fee proposals.
- Gather, edit, and deliver information in response to client requests for subconsultants.
- Assist in presentation design and interview preparation.
- Attend pre-qualification meetings as needed.
- Attend business development events as needed.
- Assist in intra-office work and develop working relationships with other KPFF offices across the United States.
- Assist the maintenance and updates of the marketing database.
- Read, understand, and respond to RFP s , RFQ s , and RFIs .
- Think through problems critically, see potential issues before they become problems and create effective solutions.
- Experience working on a team and sharing workload among team members.
- Assist with other miscellaneous tasks for the marketing team as needed.
Minimum Requirements
- 3-5 years of marketing experience is required .
- An Associate's degree is required
- Experience performing work on a PC/Windows based computer.
- Competent with Adobe Creative Cloud, emphasis on InDesign is required
- Competent with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, OneNote).
- Experienced in Microsoft Teams 365 and SharePoint.
- Fluent in written and spoken English with a strong command of grammar, spelling, and punctuation.
- Communicate clearly and succinctly in verbal and written forms.
- Meet multiple deadlines daily in a fast-paced environment.
- Must be available to work 40 hours per week, 8:00 AM to 5:00 PM Monday through Friday.
- After a successful training period, this role will work in our Irvine office 4 days per week, 8 hours per day , Monday through Thursday; with the option to work remotely on Fridays.
Preferred Qualifications
- A Bachelor's degree in business , architecture or engineering is preferred.
- Familiarity with Unanet/ Cosential CRM is preferred.
- A minimum of 3 years of marketing experience within the AEC (Architecture, Engineering, and Construction) industry is strongly preferred .
- Experience with RFP, RFQ, RFI processes is strongly preferred.
- Competent with PDF management and organization.
- Experience with workload tracking systems preferred .

Physical Demands and Work Environment
- Duties require in-person attendance, Monday through Friday, during our business hours of 8 AM to 5 PM at our office in Irvine for a training period.
- After a successful training period, this role will work in our Irvine office 4 days per week, 8 hours per day , Monday through Thursday; with the option to work remotely on Fridays.
- All duties are performed in a typical office environment while sitting at a desk or computer table.
- Duties require the ability to actively engage with a computer for several hours per day.
- May occasionally need to lift items up to 15 lbs.
