About the Job
We are looking for an experienced and highly organized Medical Administrative Assistant to support the efficient operations of our healthcare facility. As a key member of the administrative team, you will manage a variety of office and patient-related tasks, ensuring smooth communication and the timely execution of administrative duties. This role requires attention to detail, a strong work ethic, and a commitment to maintaining confidentiality in handling sensitive medical information.
Key Responsibilities:
- Schedule and coordinate patient appointments, meetings, and consultations for physicians or medical providers.
- Manage the booking and rescheduling of appointments, ensuring efficient patient flow and minimal wait times.
- Take minutes during meetings and maintain accurate schedules for office staff.
- Maintain, update, and organize patient records, ensuring all information is accurate and compliant with privacy regulations (HIPAA).
- Handle confidential medical information and ensure proper documentation is stored securely
- Answer phone calls, respond to emails, and route inquiries to appropriate staff members.
- Manage patient communications, including reminders, instructions, and follow-up correspondence.
- Create and send documents such as letters, reports, and case notes, accurately transcribing from digital recordings or notes.
- Arrange travel and accommodation for medical staff or patients as necessary, ensuring all logistics are managed efficiently and cost-effectively.
- Maintain a clean and organized office environment, ensuring supplies are replenished as needed.
- Monitor inventory of office and medical supplies, placing orders in a timely manner to avoid shortages.
- Supervise and assist other administrative staff, such as Receptionists or Clerks, ensuring tasks are completed efficiently and on schedule.
- Provide training and support for new team members as needed.
- Perform a variety of administrative tasks, including filing, document preparation, and data entry.
- Assist with billing and insurance verification as needed.
- Ensure the office runs smoothly by proactively identifying and addressing potential issues.
