Position Overview:

Title: Clinical Support Specialist

Reports to: Clinic Office Manager

Department: Outpatient

Classification: Non-Exempt; Union

The Clinical Support Specialist serves as a member of the front office and clinical teams. This position will provide direct support to the clients and clinical staff in the delivery of behavioral health services. This role will function as a liaison for patients served and clinical staff, as well as provide administrative support and direct nursing care.

Essential Functions:

• Providing excellent customer support to patients served, family, conservators, and caregivers.
• Function as a liaison for clients and clinically support providers and clinicians in expediting treatment plans or transition of care needs.
• Active member of team, working collaboratively with the Client Access Representatives, APRNs, and Behavioral Health Nurses; attend all team meetings as scheduled.
• Maintains clinician, prescriber, and other staff schedules, as directed by the Clinic Office Manager, as well as rosters for group sessions.
• Greets clients in a courteous and professional manner, checking clients in and out of the outpatient clinic as well as scheduling client appointments for the medical and clinical staff.
• Maintains and updates client files in the electronic health record at every visit.
  • Updates client demographics including current address, phone number, and payer information.
  • Scans updated insurance cards, social security cards, picture ID’s and uploads to document library.
  • Updates Release of Information (ROI) forms as needed.
  • Takes photos of clients and uploads in the electronic health record.
• Responsible for performing multiple administrative support functions including billing and tracking of insurance/funding requirements, confirmation calls, and scheduling for intake evaluations.
• Supports clients with clinical questions and provides education as needed.
• Supports the clinicians and providers with external and internal collateral for clients obtaining medical records as needed for care coordination.
• Perform caseload management for assigned clinical staff including outreach attempts, discharge notifications, and completion of discharges.
• Teaches and performs physical health assessments, obtains vital signs, smoking cessation, and administer other health screening tools as necessary, including a medical profile, health risk assessment and a PHQ-9 screening for depression.
• Acts as support to team members to interface with external agencies, specialty providers and hospitals to provide follow up during transitions of care.
• Complete medical forms, Outpatient Treatment Requests (OTR), Physician Authorizations (PA), disability forms and insurance authorizations.
• Triage phone calls to the prescribing staff and uses good judgement in developing a response.
• Perform and prepare drug screens for laboratory analysis.
• Process both internal and external referrals, including but not limited to communication of sought out services, client current information, program updates, etc.
• Outreach to engage, support and promote continuity of care.
• Document all activity related to client services provided (face to face, telephone, collateral) via DAP note.
• Maintains confidentiality, at all times, according to HIPAA regulations.
• Ensures records are stored securely and handled in compliance with HIPAA privacy and security regulations.
• Serves as a back-up to the Client Access Representatives and the Behavioral Health Nurses, as directed.
• Maintains collaborative relationships with stakeholders as well as the SCSI multi-disciplinary team.
• Performs related tasks as assigned by leadership.

Schedule: 

Full Time: Mon-Fri; 8:30 AM - 5:00 PM

Salary: 

$21.24 per hour

Bilingual (Spanish/English) individuals who pass a language proficiency exam earn an additional $.50 per hour, bringing total to $21.74/hour!!

Qualifications:

• High school diploma, or equivalent
• Active Certified Medical Assistant (CMA), Registered Medical Assistant (RMA), Certified Nursing Assistant (CNA), or equivalent certification required
• Minimum of one (1) year of experience in behavioral health
• Competent user of technology including electronic medical records, ePrescribe, documenting of vital signs, Microsoft Office Suite
• general knowledge of nursing and health care terminology
• Excellent skills related to patient care, organization and attention to detail, analytical, problem-solving and time management
• Current, valid driver's license required
• CPR/First Aid Certified or eligible
• Bilingual (Spanish/English) preferred

Physical Requirements:

• Regularly required to sit, use hands to finger, handle or feel objects, tools, or controls, and climb stairs
• Frequently is required to walk, talk and/or hear
• Speaking and hearing ability should be sufficient to communicate effectively by phone or in person at normal volumes
• Vision adequate to read correspondence, computer screen, forms, etc.
• Occasionally required to stand, climb, and/or balance
• Occasionally lift and/or move up to 25 lbs
• Specific vision abilities required by this job include the ability to adjust focus
