Medical Assistant - The Grand Corporate

We are currently seeking a highly organized and detail-oriented Administrative Assistant to join our team.  This position is a Full-Time position located in Valley Stream, NY.

The ideal candidate will have familiarity working in a fast paced, deadline driven environment. Must have a strong working knowledge of office computer use (Word, Excel, Outlook, etc.)

 Responsibilities:

• Assist with scheduling of monthly inspections for multiple facilities
• General administrative work for the department
• Weekly reporting summaries
• Track invoices and payments via check request for department
• Status tracking and pending and new projects within the department
• Preparation and tracking of all service, repair and construction agreements
• Contact vendors and subcontractors for various project quotes. Research specification projects.
• Follow up to ensure work have been completed
• Coordinate internal and external meetings, provide calendar management, conference calls and appointment scheduling
• Organization of digital and physical files via Dropbox
• Additional general administrative tasks such as answering phone calls, responding to emails, and managing calendars

Requirements:

• High school diploma or equivalent; associate's degree preferred
• Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint             
• Strong problem-solving, workload management, and organizational skills with limited supervision
• Professional, self-motivated, team player with strong collaboration skills
