Essential Functions:
BTST Services is looking for a Certified Medical Administrative Assistant who will play a crucial role in supporting the administrative operations of our agency. You will be responsible for various administrative and clinical tasks that ensure the smooth and efficient functioning of our quality patient care services. This position requires strong communication skills and a commitment to maintaining the highest standards of confidentiality and patient care.
Role Responsibilities:
- Greeting, welcoming, and assisting all visitors
- Opening and Closing the Office
- Retrieving emails and voicemails
- Placing reminder/courtesy calls to confirm appointments w/clients
- Managing the contact log for all client interactions such as rescheduling, same day cancels, no shows, and missed transportation etc.
- Process and Manage Medical Records
- Coordinate and manage patient appointments, ensuring efficient scheduling to optimize provider availability and patient access.
- Conduct patient interviews to collect and record medical histories accurately ensuring the completeness of the information.
- Assist in completing necessary lab forms for clients, ensuring that all required information is provided.
- Process prior authorization forms accurately code information and communicate with Medicaid as necessary to facilitate insurance coverage.
- Maintain strict confidentiality when handling client information and ensure compliance with all relevant privacy regulations and agency policies.
- Handle patient inquiries and issues with professionalism and effective problem-solving.
- Manage incoming phone calls from prescribers regarding school medication forms, adverse reactions, prescription refills, and patients in crisis.
- Provides clinical advice by phone and electronic correspondence, following established triage protocols and ensuring accurate relay of information to the patient.
- Utilize experience in pediatric practice to provide specialized care for pediatric clients.
- Maintain the knowledge and skills necessary to provide care or services appropriate to the age of the clients served in the assigned service area.
- Maintains a safe, secure, and healthy work environment by adhering to standards and procedures and complying with legal regulations.
- Take patient phone calls and relay messages to providers when necessary to facilitate effective communication.
- Ensure that the required patient chart information is updated and legibly written to maintain accurate records.
- Other duties as needed in accordance with achieving agency goals and maintaining quality standards.
Skills:
- Proven experience as an office administrator, office assistant or similar position
- Effective written, oral communication skills and interpersonal abilities
- Familiarity with office management procedures and basic accounting principles
- Excellent knowledge of MS Office
MINIMUM QUALIFICATIONS:
- High School diploma or equivalent
- Completion of a recognized Medical Assistant Program
- Current Medical Assistant Certification (CMA, CCMA or RMA)
- Previous experience in a healthcare setting with outpatient clinical experience preferred.
- Knowledge of HIPPA and patient confidentiality regulations
- Excellent communication and organizational skills
- Ability to work effectively in a fast-paced and dynamic clinical environment.
