San Mateo County Health is seeking well-qualified individual for the position of Medical Office Specialist-Behavioral Health & Recovery Services – Extra Help.
There are currently two extra help part time (20-hours per week) vacancies in the Behavioral Health & Recovery Services Division. These positions are located in Belmont, CA, but may travel/drive throughout the County to perform duties of the job. These positions will be a hybrid of remote and in-office work.
These Medical Office Specialists (MOS) will be involved in the organization and development of workflows for the Access Utilization Management (UM) Team and the Specialty Private Provider Network (SPPN). The Medical Office Specialists will oversee and perform a variety of complex medical office administrative tasks that correspond to the compliance mandates of Department of Health Care Services (DHCS) and Centers for Medicare and Medicaid Services (CMS); perform difficult, complex, technical or specialized medical office support work, which may require the exercise of independent judgment, the application of technical skills, and a knowledge of detailed or specialized activities related to Behavioral Health and Recovery Services and compliance standards; and may train others in work procedures or direct the work of others on a project or relief basis.
Access Utilization Management (UM) MOS Position
Support outpatient utilization management; track timelines, requests, and provide monthly reports on completed tasks; help with formatting spreadsheets, creating PDF referral forms, and completing complex spreadsheet analysis in Excel; write formal letters and input data from the electronic medical record (EMR) database; verify insurance eligibility; input demographic and insurance eligibility in EMR database, Avatar; oversee and perform a variety of complex administrative tasks that correspond to the compliance mandates of DHCS and CMS; and process in or out of county requests using knowledge of specialized out of county activities.
The Specialty Private Provider Network (SPPN) MOS Position
Support the matching process of Serious Mental Illness (SMI) clients to private providers; perform the reauthorization process; verify insurance eligibility; track requests on the Excel tracking log; track provider openings with clients who need care; send correspondence to BHRS clinic staff, contracts team, private providers, and the insurance team; process private provider payment authorizations; process referrals; process treatment plan update forms; create updated referral processes and workflows; and track provider requests for support and trainings.

Ideal candidate will possess:
- Demonstrated proficiency in Microsoft Excel
- Experience processing health care insurance
- Ability to perform a variety of complex medical office administrative tasks
- Experience working in a high-volume health care environment
- Demonstrated skill in organizing and prioritizing work to meet deadlines
- Ability to work independently
- Demonstrated ability to establish, maintain, and foster positive and effective working relationships with those contacted in the course of work
- Excellent verbal and written communication skills
