Medical Scheduler & Registrar Job Summary:
The Registrar Scheduler facilitates the patient flow at a clinic providing services necessary to schedule, register, and greet patients. Schedules patients for consultation, procedures and/or services rendered, and other pertinent information, allowing the clinic to track patient visits, ensure a smooth patient flow for appointments, and to bill for services provided. Verifies insurances via electronic verification system or contacts the insurance payer for verification of eligibility and benefits. Ensures that any pre-certification/authorization is obtained to meet the individual payer payment protocols. Able to manage multiple tasks with an excellent orientation to professional customer service.
Medical Scheduler & Registrar Responsibilities:
- Greets patients and or other parties upon their arrival, distributes patient information, escorts patients and/ or family members to respective patient service areas.
- Collaborates with Clinal supervisor to determine appropriate scheduling of emergent and urgent patients.
- Process appointment confirmation letters and or reminder telephone call s that are cues through the scheduling system.
- Interviews, collects,and entersdemographic, insurance information, financial and/or any other related data required data into designated database with accuracy to ensure appropriate charges for services rendered. Completes necessary documentation during scheduling/registration process emphasizing completeness and accuracy.
- Schedules appointments for new and recurring patient visits. Assures patients are scheduled according to staffing and equipment availability and meeting the patient’s desired schedule whenever possible. Communicates special instructions to patients relative to procedures) and/or tests being ordered by physician.
- Maintains integrity of master patient index and any other related database by accurately identifying patient name with corresponding medical record number during the scheduling and pre-authorization process.
- Verifies insurance information through electronic insurance verification system; may contact insurance payor for eligibility and benefits and documents related activity or results in designated database.
- Assures allthird-partypayor requirements aremet priorto services being rendered; documents all pre-certification and/or pre-authorization numbers in system as applicable.
- Determines patient and payer financial responsibilities at time of service. Collects co-pays and other charges prior to delivery of service and applies hospital policies regarding financial services. Issues receipts and reconciles cash deposits according to established policies and department guidelines.
- Assist with interviews and conducts financialscreening on self-pay patients to identify potential eligibility for available programs.
- Demonstrates knowledge of state and federal rules and regulations necessary to ensure compliance in processing registrations (i.e., Medicare secondary Payor, Advance Beneficiary Notice for medical necessity, etc.).
- Accepts physician orders for therapy and diagnostic testing. Informs physicians and or clinical staff of managed care requirements. Obtains required insurance authorizations to secure the patient account.
- Communicates with the physicians and or clinical staff to determine medical necessity. Utilizes medical necessity software to ensure procedures/tests being ordered meet local medical review policies and regulatory requirements. Informs patients of any services that do not meet medical necessity and obtains consents from patients to continue scheduling of non- covered services.
- Provides price quotes of respective procedure(s)/test(s) requested by patient and physician offices utilizing the Pricing Database.
- Completes and prepares all necessary documentation during scheduling, preregistration and registration process emphasizing completeness and accuracy t distribute to the appropriate department and service areas to expedite patient service and ensure positive guest relations.
- Meets productivity and quality standards and reports exceptions to supervisor.
- Responds to changes in the work schedule as necessary by assisting in other areas as assigned.
- Adheres to CARE Values, standards, policies, and procedures at both the hospital and department level.
- Promotes customer service orientation in the performance of position duties and responsibilities and interactions with patients, hospital staff and visitors.
- Performs other duties as assigned.
Medical Scheduler & Registrar Knowledge & Experience:
- One year of experience in scheduling or patient access in a hospital or clinic setting required.
- Certified Healthcare Access Associate (CHAA) preferred
- Highschool Diploma or equivalent required
- Associates degree preferred
- Training or educational background with medical terminology and familiarity with ICD coding preferred
- Bilingual (English/Spanish) Required
- Ability to deal tactfully with associates, patients,visitors,and thepublic.
- Basic computer literacy and keyboarding skills required
- Effective written and verbal communication skills required
- Analytical and problem-solving skills required
- Knowledge of commercial and managed
Pay Rate & Schedule:
- $18.98/hour
- Monday - Saturday must be available to work within the hours of 7 am - 6 pm
