Position Overview:
Our client is seeking an experienced Medical Spa Manager to lead our dynamic team and ensure the smooth, efficient operation of our medical spa. The ideal candidate will have a strong background in spa management, possess knowledge of medical spa regulations, and be well-versed in industry software such as Nextech. You will oversee daily operations, staff management, customer service excellence, compliance with HIPAA and OSHA regulations, and drive revenue growth.
Key Responsibilities:
Operations Management:
- Oversee daily operations, ensuring all spa treatments and services run smoothly and efficiently.
- Implement and enforce spa policies and procedures, ensuring compliance with medical regulations including HIPAA and OSHA standards.
- Manage inventory and ordering of spa supplies and retail products to ensure adequate stock and minimize waste.
- Maintain a high level of cleanliness, organization, and safety in accordance with OSHA guidelines.
- Staff Leadership & Management:
- Recruit, hire, train, supervise, and evaluate spa staff, including aestheticians, massage therapists, front desk coordinators, and other team members.
- Create and manage employee schedules, ensuring appropriate staffing levels to meet client demands.
- Develop team goals and conduct regular performance reviews to ensure staff are meeting and exceeding expectations.
- Promote a positive, motivating team environment to foster high morale and productivity.
Client Experience:
- Ensure all clients receive exceptional service, addressing any concerns or feedback in a timely and professional manner.
- Train staff on client engagement, upselling, and delivering a premium experience from initial consultation through follow-up.
- Act as the point of contact for escalated client issues and resolve them to satisfaction.
Revenue Growth & Sales:
- Monitor and analyze financial reports and key performance indicators (KPIs) to identify trends, track performance, and drive business growth.
- Implement sales and marketing initiatives to increase client retention, new client acquisition, and upsell retail products and treatments.
- Work closely with the marketing team to promote services and special offers through digital and in-spa promotions.
Technology & Software Management:
- Manage Nextech software for appointment booking, client management, medical records, and inventory tracking.
- Train staff on the proper use of Nextech and ensure accurate data entry and record-keeping.
- Regulatory Compliance:
- Ensure all spa operations comply with relevant regulations, including HIPAA for client confidentiality and OSHA for workplace safety.
- Conduct regular compliance audits and training to keep staff up to date on best practices.
Qualifications:
- 3+ years of experience as a Spa Manager or similar role in a medical spa, luxury spa, or wellness center.
- Proficient in Nextech software or similar spa/medical management systems.
- Strong knowledge of HIPAA and OSHA regulations and medical spa industry standards.
- Proven leadership experience with the ability to effectively manage and motivate staff.
- Strong organizational, problem-solving, and decision-making skills.
- Exceptional customer service and communication abilities.
- Ability to work in a fast-paced, client-focused environment.
- Experience with budgeting, financial reporting, and inventory management.
