Idaho National Laboratory's External Engagement and Communications group is looking for a Meeting Center Coordinator. This is an on-site position and we are surrounded by some of the West's most iconic mountains, rivers and national parks (Yellowstone, Grand Teton)!
This position is a ONE-YEAR PROJECT HIRE with strong possibilities to become a full time position.
Our team works a 9/80 schedule with every other Friday off located at our Idaho Falls Energy Innovation Laboratory facility.
As the INL Meeting Center Coordinator you will provide oversight for planning, coordinating and implementing events at the INL Meeting Center.
You will report to the Labwide Communication Services Manager and have no direct reports.
Responsibilities Include:
- You will implement procedures as they relate to the INL Meeting Center and conduct ongoing reviews and additions/revisions to procedures.
- You will ensure smooth operation of the INL Meeting Center by identifying maintenance and operational needs; keep inventory of facility equipment and allocate resources to ensure customer needs are met. Responsible for daily security aspects of the INL Meeting Center. Coordinate support from INL Facility Site Services and its subcontractors.
- You will work with INL Meeting Center customers to understand event requirements to ensure successful events.
- Additionally, acts as a back up to the hospitality specialist. This includes coordinating visits for VIPs, working with INL leadership, and paying special attention to the protocols associated with VIPs.
- We ask that you have a demonstrated knowledge of facilities management and operations, customer relations, and project management. Proactively address any customer concerns/requests, and strives to exceed the guests’ expectations.
- You will promote a positive image of the INL and contribute to its reputation as a preeminent national laboratory.
- Participate in determining goals of each assignment, while planning, scheduling, and arranging strategic activities to accomplish overall program goals.
- Provide input to performance reviews, equipment and facility needs, improvements, and enhancement opportunities.
- Build and facilitate working relationships to amplify INL efforts.
- Participate in working teams in assigned work scope and activities.
- Maintain INL protocol policies, directives, and procedures, and oversee effective implementation and adherence to the reports.
- Make important decisions to ensure visits and events run smoothly and provide advice to leadership on visit and event topics and coordination.
- Oversee reservations and arrangement of facilities, speakers, guest lists, invitations, seating arrangements, flags, decorations, menu selection and gifts.
- Coordinate events with the Hosting, Tours, and INL Meeting Center team members.
- Represent assigned organization in professional situations.
Qualifications
Minimum Requirements:
Level 2-Relevant Bachelor's degree in a related field such as Public Affairs, Hospitality or Communications plus two years related experience, or a High School diploma and 8 years of related experience. Relevant experience in event planning, hospitality or related field.
Level 3-Relevant Bachelor's degree in a related field such as Public Affairs, Hospitality or Communications plus five years related experience, or a High School diploma and 11 years of related experience. Relevant experience in event planning, hospitality or related field.
You must have the ability to work a flexible schedule, sometimes on short notice, including nights and weekends (early mornings before 7:30 am and late nights after 5:30 pm).

The pay range for this position is: Level 2-NE2 Grade 420 ($54,876-$107,064) / Level 3-NE3-Grade 430 ($63,528-$130,284). At Idaho National Laboratory compensation decisions are determined using factors such as education, relevant experience, and other credentials.
