Office Admin Legal Assistant - The Matian Firm, APC

Our office is actively looking to hire an experienced Office Admin Legal Assistant, with a desire to grow within the legal industry. This position must be staffed by an individual who is trustworthy, organized, and works well with people. Discretion and integrity are top priorities. This position requires a true professional who is dedicated, loyal, and has strong attention to detail. In this role, this individual's primary responsibility is supervising time/attendance, meeting with walk-ins, overseeing remote team requests (mail and appointments), maintaining overall office organization, and covering cases when people are out of office.

Responsibilities and Duties

• Greet and welcome guests as soon as they arrive at the office
• Direct visitors to the appropriate person and office
• The answer, screen, and forward incoming phone calls
• Provide fundamental and accurate information in person and via phone/email
• Update calendars and schedule meetings
• Prepares simple requests and completes administrative tasks such as: Follows up with clients and agencies, audits matters, translations, relays analysis.

Qualifications

• Must be bilingual (English/Spanish)with written and verbal proficiency
• Case Management software experience is a significant plus
• Professional attitude and appearance
• Solid written and verbal communication skills
• Excellent organizational skills
• Multitasking and time-management skills, with the ability to prioritize tasks
• Customer service attitude
• Proficient in Microsoft Office, Microsoft Excel, Google Spreadsheets, Google Drive, and CLIO (Preferred).
