Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to support our client a tax firm’s daily operations. The ideal candidate will be responsible for performing a variety of administrative and clerical tasks, ensuring smooth workflow, and providing outstanding customer service to clients. This role requires excellent communication skills and a strong understanding of office procedures.
Key Responsibilities:
• Answer and direct phone calls, take messages, and manage email correspondence.
• Greet clients and visitors, offering a professional and welcoming environment.
• Schedule and confirm client appointments, and maintain the firm’s calendar.
• Prepare and process tax documents, financial statements, and reports.
• Manage filing systems, including both physical and digital filing of tax documents.
• Handle confidential and sensitive client information with discretion.
• Provide support to tax preparers by organizing and managing client files.
• Process incoming and outgoing mail, including scanning and distributing tax documents.
• Assist with client billing and invoicing, track payments, and follow up on outstanding balances.
• Order office supplies and manage inventory to ensure the office is well-stocked.
• Assist with data entry, document preparation, and other administrative tasks as needed.
Qualifications:
• High school diploma or equivalent; Associate’s or Bachelor’s degree in business, accounting, or a related field is preferred.
• Proven experience as an administrative assistant, office assistant, or similar role.
• Knowledge of basic tax terminology and tax document preparation is a plus.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (printers, scanners, etc.).
• Familiarity with tax preparation software (e.g., QuickBooks, TurboTax, etc.) is a plus.
• Strong organizational skills with the ability to multitask and prioritize tasks.
• Excellent written and verbal communication skills.
• High level of attention to detail and accuracy.
• Ability to work independently as well as part of a team.
• Trustworthy, with the ability to handle sensitive and confidential information.
