Job Description:

We are seeking a motivated and efficient Office Administrative Assistant. The ideal candidate will have a minimum of 3 years of administrative experience and be proficient in Microsoft Office and QuickBooks (or similar software). This role will involve managing various administrative tasks while providing backup support to the team.

Key Responsibilities:

• Answer incoming phone calls professionally and efficiently.
• Manage employee scheduling and time clock entries (training will be provided).
• Perform heavy calendar management for staff, including scheduling meetings and organizing agendas.
• Plan and coordinate office events as needed.
• Assist with Accounts Payable data entry, ensuring accurate processing of invoices.
• Provide administrative support to the team as needed.
• Oversee supplies and order as needed.
• Complete ad hoc projects as assigned by the manager.

Qualifications:

• Minimum 3 years of administrative experience.
• Proficiency in MS Office (Word, Excel, PowerPoint).
• Proficiency in QuickBooks or similar software; familiarity with SAGE 100 is a plus.
• Strong attention to detail and organizational skills.
• Ability to work independently and as part of a team.
• Quick learner eager to take on new challenges.
• Professional demeanor with excellent communication skills.
• Spanish language proficiency is preferred.
