Summary
The Office Admin/Accounting Assistant will be responsible for managing administrative tasks, ensuring the smooth operation of the office, and handling basic bookkeeping duties. Job duties include administration support and facility management, as well as data entry and record keeping. The Office Admin will support the Accountant with accurate recording of day-to-day financial transactions of our company.
Essential Functions
- Facility management (answering phones, managing office supplies, processing the mail).
- Help record and match day-to-day financial transactions to underlying support.
- Process regular accounts receivable and invoicing.
- Process vendor invoices and recording certain expenses (credit cards, utility bills, etc.).
- Generate customer statements.
- Assist with inventory control and tracking.
- Maintain commission spreadsheets and calculations.
- Perform other related duties as necessary or assigned.
Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday. Occasional evening and weekend work may be required as job duties demand.
Skills and Qualifications
- Strong organizational and multitasking skills.
- Billing, Accounts Receivable, and Accounts Payable experience.
- Experience in office administrative support or facility management; alternatively, experience with managing high volume of transactions
- High degree of accuracy and attention to detail
- High school diploma required; additional degree/certification is a plus
- Strong communication (both written and verbal) and problem-solving skills
- Ability to work independently, or as part of a team, under tight timelines and pressure
