About the Job
The Office Administrator will coordinate office activities and operations while providing clerical and administrative support to management. This individual will also assist in ensuring that the company receives payment for goods and services offered to clients.
Duties/Responsibilities:
- Provides administrative support to the department. Duties may include responding and resolving administrative inquiries and questions as well as copying and filing.
- Oversees telephone services, email correspondence, and mail distribution.
- Welcomes and directs visitors and vendors.
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
- May assist with expense reporting, invoicing, office supply inventory, or other routine processes
- Creates invoices according to company practices; submits invoices to customers.
- Assists in preparing, posting, verifying and recording customer payments and transactions related to accounts receivable.
- May create reports regarding the current status of customer accounts as requested.
- Research customer discrepancies and past-due amounts with the assistance of other staff.
- Assists in generating monthly billing statements based on the general ledger.
- Assists Controller in reconciling revenue accounts each month.
- Performs routine accounting activities such as data entry, maintenance of the general ledger, preparation of various accounting statements and financial reports.
- Analyzes accounts receivable transactions to ensure compliance with internal controls and accounting policies.
Required Skills/Abilities:
- High school diploma or equivalent required; Associate’s degree in Accounting or Business preferred.
- Requires 1 year of general work experience
- Has a basic understanding of bookkeeping and accounting principles.
- Proficient in Microsoft Office
- Suite or related software as well as other accounting software programs.
- Ability to operate related office equipment, such as computers, 10-key calculator, and copier.
- Ability to work independently and in a fast-paced environment.
- Excellent organizational skills and attention to detail.
- Ability to maintain confidential and meticulous records.
- Excellent verbal and written communication skills.
- Excellent time management skills with a proven ability to meet deadlines.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
