We are seeking a proactive and detail-oriented Part-Time Remote Administrative Assistant to support our team with various administrative tasks. This role involves managing travel logistics, assisting with expense reconciliations, supporting HR processes, and providing general administrative support. The ideal candidate will have strong organizational skills, the ability to multitask, and excellent communication abilities.
Key Responsibilities:
- Travel Cash Advances
- Coordinate and send out pay cards.
- Manage shipping and delivery with FEDEX.
- Hotel/Flight/Auto Bookings
- Arrange and confirm travel accommodations for employees, including hotel reservations, flights, and car rentals.
- Expense Report Reconciliation
- Collect and reconcile expense reports, ensuring accurate and timely submission.
- Paperwork and Timecard Tracking
- Assist in tracking down and organizing paperwork, timecards, and supporting documentation.
- Help with I-9 verifications and ensuring compliance.
- Receipt and Approval Follow-Up
- Track down folios and receipts from employees and vendors.
- Follow up with stakeholders for approval of documents and expenses.
- Job Postings
- Assist with creating and posting job openings on various platforms.
- Project Tracking
- Assist in tracking and updating the status of current and future projects.
- Interview Scheduling
- Coordinate and schedule interviews with candidates and hiring managers.
- Lead Dispersing
- Distribute leads to relevant team members and follow up on progress.
- Bullhorn Support
- Assist with audits, data entry corrections, and finalizing placements within the Bullhorn system.
- Light Sourcing
- Support sourcing efforts by identifying and reaching out to potential candidates for open positions.
- Additional Administrative Support
- Provide support on other administrative tasks as needed.
- Proven experience in an administrative or similar role.
- Strong organizational and multitasking abilities.
- Excellent communication skills, both written and verbal.
- Ability to work independently and remotely.
- Proficiency with Microsoft Office Suite and Google Workspace.
- Familiarity with Bullhorn or similar CRM systems is a plus.
- Experience in travel coordination, expense reconciliation, and HR support preferred.
