About the Job
The primary purpose of this position is to facilitate the efficient operation of the assigned department by performing a variety of clerical and administrative tasks. Responsible for assisting with the needs from the Administrator. This is a seasonal position.
Essential Job Functions Duties and Responsibilities
Office Assistant
- Supports managers and employees through a variety of task related to organization and communication
- Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner
- Order supplies and snacks for office
- Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected
- Acts as a liaison with other departments and outside agencies, including high-level staff such as CEOs, presidents, senior vice presidents and chiefs.
- Answers and transfers phone calls, screening when necessary.
- Welcomes and directs visitors and clients.
- Maintains filing systems as assigned.
- Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
- Responds to and resolves administrative inquiries and questions.
- Coordinates and schedules travel, meetings, and appointments for managers or supervisors.
- Prepares agendas and schedules for meetings.
- Records and distributes minutes or other records for meetings.
- Maintains office supplies and coordinates maintenance of office equipment.
- Maintains a system for recording expenses and the use of petty cash.
- Performs other related duties as assigned.
Required Knowledge, Skills and Abilities
Must possess the ability to make independent decisions, follow instructions, and accept constructive criticism. Must be able to speak, write and understand English in a manner that is sufficient for effective communication with others. Strong analytical and problem solving skills. Ability to be reliable and punctual while paying attention to detail. Knowledge and experience with Word, Excel, and Google Docs. Can confidently handle confidential and non-routine information.
Education and Experience
High School Diploma
Previous Administrative experience (one year required) Related office work (two years preferred)
Licensing/Certifications
None.
