Permit Office Assistant - PART TIME

This is a Part-Time position (> less than 30 hours per week) ON-SITE in our RUSSO BROS PLUMBING & HVAC East Hanover, NJ Branch location. Our Team is busy, and we are seeking a strong assistant to help support our HVAC Installation division.

This position requires excellent administrative skills (MS Office, Excel, Outlook; Service Titan is a plus!), attention to detail, strong organization skills, customer service, follow-up, etc.

Key Responsibilities:

Permit Filing:

• Prepare permit applications.
• Review permit applications for completeness and accuracy.
• File permits with the appropriate town building departments.
• Maintain organized records of all filed permits for easy retrieval and reference.

Inspection Scheduling:

• Follow up and coordinate with clients and/or inspectors to schedule inspections.
• Ensure inspections are scheduled within the required timelines.
• Maintain and record inspection schedules and update as necessary.
• Document inspection outcomes and file reports as directed.

Administrative Support:

• Heavy inbound and outbound calls for follow up, responding to emails, and handling permit application mail

Schedule:

• This is a part-time position (> less than 30 hours per week)
• Flexible schedule but must be completed Monday through Friday during normal business hours.

Experience/Education:

• High School Diploma or equivalent required, associates and college degrees preferred.

Compensation:

• $18.00-$21.00/hr
