Responsibilities
provide general office support including covering the front desk, distributing mail, submitting building maintenance requests, and managing our fleet vehicle program. This role is essential to the day-to-day operation the corporate headquarters with an opportunity to work with an awesome team and work cross-functionally to keep our employees energized and successful.
• Manage the functional operation of the Atlanta office campus including but not limited to vendor selection, scheduling maintenance and repairs, supply orders, invoice management and processing for the department, copier equipment management, security system management, purchase of furniture and décor, and other activities as they occur.
• Manage vendor relationships ensuring prompt and efficient service including but not limited to:
• Main point of contact with the cleaning vendor to notify them of office needs, special events or lunches that require prompt clean-up.
• Works with property management or other third-party vendors on building maintenance items.
• Liaises with Security company to notify them of office needs and scheduling.
• Greets and directs visitors/guests to the appropriate employee(s) within the company.
• Answers telephones and directs the caller to the appropriate person.
• Responsible for incoming and outgoing mail, including delivering mail to appropriate personnel.
• Coordinates use of conference rooms.
• Organizes catered lunches for meetings/events.
• Assists in set-up and cleanup of conference rooms or private executive offices for management and/or client meetings including coordination, selection and ordering and set-up and removal/clean-up of food and beverages, etc., ensuring that the reception area, kitchens, and office, in general, are spotless.
• Coordinates ordering of office supplies and maintains appropriate inventory levels including break room/kitchen supplies.
• Runs business errands and has reliable transportation to do so (mileage is compensated). • Manages the distribution of company vehicles, including scheduling, cleaning, and maintenance.
• Coordinates the Atlanta office lunches, birthdays, activities and handles arrangements.
• Coordinate and track budget and expenses for the Atlanta office campus; manage purchases through the appropriate system.
• Identify opportunities for process optimization and develop, implement, and communicate new processes to appropriate personnel.
• Manage janitorial staff. Making sure that the janitorial staff keeps the building in clean and orderly condition. Stock and maintain kitchen areas and bathrooms. Dispose of all trash in the building, etc.
Education, Knowledge, Skills and Expertise
* Education: Associate degree or higher preferred
* Experience in multi-tasking and providing administrative support to multiple project teams or managers with competing business needs is preferred.
* Experience in purchasing, shipping, and maintaining ample inventory of office supplies is preferred.
* Experience with Microsoft Office including Word (letter/document creation), Excel (chart, graph and table creation), and PowerPoint (presentation preparation) and Outlook (email, scheduling and calendar management).
* Competencies: Needs to possess a professional demeanor and can work with senior level executives and business guests. In addition to strong interpersonal skills this role requires the ability to communicate effectively, work efficiently, independently with accuracy, maintain confidential information, exercise sound judgment, make accurate and timely decisions, the ability to multi-task, work independently in a fast paced environment and have strong analytical and problem-solving skills.

* Hours are 8:00 to 5:00 with lunch except when lunch is provided
