Acero Schools Office Coordinators perform a variety of critical roles and responsibilities in order to maintain the school office in compliance with Federal, State, and Local regulations. Serving the network as the first touchpoint for families and guests, this role is expected to provide high-level, respectful customer service to students, families, visitors, and employees.

Compliance
- CEP: collect and process in a timely fashion the Family Income Information Forms, record in the appropriate data system(s), and maintain records according to instructions given at the beginning of the year.
- Medical Records: collect, process, and maintain student medical records in compliance with CPS and Acero Schools regulations, and record in the appropriate data systems.
- Enrollment: assist in annual lottery process, and facilitate the transfer student process as described in the Student Handbook.
- Student Information Systems: record all required student data into systems required by CPS and Acero Schools.
- Emergency Management: ensure that emergency plans are available at the school.
- Student Attendance: record and maintain accurate attendance records for all students in dual systems and conduct weekly attendance data audits to ensure accuracy; be a catalyst to student achievement by emphasizing the importance of attendance to parents/legal guardians.
Customer Service
- Promote and maintain a positive and effective school climate by ensuring that all interactions with staff, students, families, and the public at-large are prompt, efficient, helpful, and friendly.
- Establish and maintain a professional, cooperative working relationship with all stakeholders including, but not limited, to parents/legal guardians, students, staff, and neighbors.
- Provide basic first-aid to students and contact parents as needed. Ensure that proper authorizations are on file in order for school administrators to properly manage the administration of medication to students.
Cash Handling
- Properly record and maintain student fees in the appropriate database; issue receipts for payments; follow Acero Schools policy regarding cash handling.
Purchasing and Inventory
- Maintain an accurate inventory of office supplies and follow proper purchasing process for replenishment of supplies (including receiving).
Office Management
- Serve as custodian of the school office including all student information systems, enrollment and registration systems, etc.
- Ensure proper visitor Acero Schools policy is enforced.
- Organize weekly communication (e.g. Friday Folders) to parents/legal guardians.
- Ensure and maintain quality of office equipment (e.g. copier, fax, etc.).
- Receive, sort, and distribute incoming and outgoing mail, including deliveries.
- Coordinate and supervise parent volunteers for support with Friday Folders.
- Believe in our ability to create the future we envision.
- Education: High School Diploma (required); Bachelor’s degree (preferred).
- Minimum of 1 year of experience in the field or in a related area.
- Ability to manage multiple projects.
- Must be highly detail-oriented and accuracy-driven.
- Excellent computer skills including familiarity with Microsoft Office (e.g. Word, Excel, and PowerPoint).
- Must possess excellent written and verbal communication skills in English and Spanish (required).
- Excellent interpersonal skills.
- Must be authorized to work in the United States (required).
PHYSICAL DEMANDS AND WORKING CONDITIONS
The nature of the work requires an ability to operate standard business office equipment, collect, compile and prepare work documents, set-up and maintain work files, and an ability to communicate and exchange information. Physical demands include the ability to stand, bend, reach high and low, stoop, and walk around the classroom 60% of the day. In addition, candidates must be able to lift and/or push and pull 15 to 20 lbs. for short periods of time, and walk up and down stairs several times a day.
Majority of work is performed in a general school environment. Position requires availability for extended hours plus non-traditional hours required to perform job duties. Also requires participation and attendance at organization-sponsored events and meetings.
