We are looking for an Office Coordinator to join our Columbia team.
The Office Coordinator supports the office through a variety of administrative and office duties listed below. The Office Coordinator is the face of the company, and first point of contact for clients both through the phone and in person. This position requires exceptional PC skills, aptitude for problem solving, and initiative.
Responsibilities may include:
- Serve as the welcoming face and primary point of contact for clients
- Handle diverse administrative tasks with precision and attention to detail
- Create and maintain documents using Microsoft and/or Google Suite
- Assist in managing project accounts receivable by accurately recording and tracking payments, invoices, and client communications to ensure timely and efficient financial operations.
- Assist in managing financial records, including expense reports and vehicle mileage logs
- Conduct thorough research to support decision-making and strategic initiatives
- Utilize management software such as Deltek to input and track project data efficiently
- Coordinate logistics and details for both in-office and off-site events, ensuring smooth execution and a memorable experience for all attendees.
- Maintain inventory of office supplies and marketing materials, ensuring sufficient stock levels and timely replenishment to support daily operations and promotional activities.
- Collaborate with fellow Office Coordinators and administrative leadership to align strategies, share best practices, and collectively work towards achieving company goals and initiatives.
Required Skills/Abilities
- Work effectively in a team environment

- Provide exceptional customer service, both internally and externally
- Exhibit excellent verbal and written communication skills
- Work independently with minimal supervision
- High School Diploma or equivalent
- Proficiency in technology, including Microsoft Word, Excel, and Google Suite
- Experience in accounts receivable or finance preferred
- Capability to perform light lifting up to 25 pounds
