Job Title: Office Coordinator
Job Locations: City of Chesapeake Public Works/Engineering – 411 Cedar Road, Chesapeake, VA, 23322
Schedule: Monday – Friday between hours of 8am – 5pm (flexible schedule, up to 20 hrs./week)
Pay Rate: $17.36/hr.
Job Duties:
- Prepares, edits, and distributes property management correspondence, reports, studies, forms, and documents.
- Performs general office duties such as filing, answering, and routing phone calls.
- Researches, negotiates, and records data for the purchase of short- and long-term leases of land agreements.
- Oversees and documents all land related legal issues, including transfer of titles and deeds, leases, mortgage concerns, and zoning.
- Performs specialized office procedures such as taking and transcribing dictation or meeting minutes/notes, creating forms and tables, or typing documents, correspondence, contracts, bids, charts, or technical and statistical reports.
- Interacts with other departments, clients/customers, and the public by telephone or in person; provides information, resolves complaints, directs individuals to appropriate personnel, or takes and relays messages.
- Maintains personnel information and prepares payroll; assists in completion of audits and technical assisting projects.
- Maintains departmental budget; assists with preparation of budget and administration of expenditures.
- Compiles data and prepares routine and specialized reports; maintains records and files for area of responsibility; performs grant tracking.
- Maintains supply inventory and processes requisitions and purchase orders; research and processes account payable and/or accounts receivable; interacts with vendors and contractors.
- Coordinates/maintains sites, databases, programs, or operations of responsibility; prepares and distributes informational literature; maintains/troubleshoots department computers.
- Makes appointments and sets up/coordinates meetings; processes incoming and outgoing mail; assists with daily operations as directed.
- Maintains file systems and assists with cross checking entries for accuracy.
- Enters data into various systems and trains department personnel and outside agencies on systems use an operation.
- Assists with ensuring that all staff certifications are maintained, and re-certifications are scheduled accordingly.
- Performs routine office tasks such as data entry, filing, faxing, and photocopying.
- May travel to off-site locations/precincts to perform VCIN related inspections.
- Assists with special projects as directed by supervisor.
- Performs other related duties as assigned.
Requirements:
- Must have experience with a multi-line telephone.
- Must have reliable transportation.
- Must be able to utilize Microsoft Excel, Word, and Outlook.
- Must have experience using KRONOS and GIS.
