This is a full-time, 12-month, non-exempt position that reports to the Manager of TRIO Student Support Services Programs and is located at the JWCC campus in Quincy, Illinois. Position begins immediately.
JOB DESCRIPTION
John Wood Community College (JWCC) is seeking a highly organized and detail-oriented Office and Data Entry Assistant to join our Office of Support Services. This position will provide administrative and data entry support to ensure the efficient operation of the department. The ideal candidate will possess strong computer skills, a keen eye for detail, and the ability to handle multiple tasks in a fast-paced environment. The Office and Data Entry Assistant will provide operational support to the TRIO offices of Student Support Services, Upward Bound and Academic Talent Search, Disability Services, and Counseling Services.
KEY RESPONSIBILIES
- Data Entry: Accurately input, update, and maintain records in various databases and systems, ensuring all information is current and correct.
- Administrative Support: Assist with filing, photocopying, and organizing documents. Manage incoming and outgoing correspondence including emails, letters, and packages.
- Customer Service: Serve as the first point of contact for students, faculty, and staff visiting the TRIO Offices of Support Services, answering questions, and directing inquiries to the appropriate personnel.
- Scheduling Assistance: Help in coordinating meetings, appointments, and events for the department, including reserving rooms and preparing materials.
- Document Preparation: Draft and edit documents, reports, and spreadsheets as needed.
- Maintain Confidentiality: Handle sensitive information and ensure compliance with college policies on confidentiality.
- General Office Duties: Assist with inventory management, order office supplies, and maintain an organized workspace.
QUALIFICATIONS
Education:
- High school diploma or equivalent required. Associate's degree in Office Technology or Computer Management System, Business Administration, or a related field is preferred.
Experience:
- Previous experience in an office environment, particularly with data entry, is preferred.
- Knowledge with Microsoft Office Suite (Word, Excel, Outlook) and database management is required.
Skills and Competencies:
- Strong attention to detail and accuracy in data entry.
- Excellent organizational skills and the ability to manage multiple tasks simultaneously.
- Effective communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Customer service-oriented with a professional and friendly demeanor.
- Discretion and the ability to handle confidential information.
Work Schedule:
- Full-time position with a typical schedule of Monday-Thursday (8am - 5pm) and Friday (8am - 12pm).
