About the Job
Our client is looking for an Office Manager/HR Coordinator to join their team. As the go-to person for all Office administrative work, your mission is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. This position is located in San Jose, CA.
Job Responsibilities
Office Management
● Ensure the operational excellence of the office and enhance operational procedures/guidelines to cultivate the employee experience
● Organize culture initiatives, office socials & own company event operations
● Manage relationships with landlord, current vendors, source new vendors as applicable for all office operations, including coordination of services to maintain facilities.
● Ensure all safety measures are implemented and maintained.
● Manage & distribute in/outgoing mail and manage shipments (domestic and international).
● Assist in new hire onboarding process including interviewing, securing workstations, equipment, office supplies, access authorizations & business services
● Maintain physical and virtual office records in accordance with internal & secure procedures
● Address routine requests for information & escalate complex requests to appropriate staff member
● Track & verify budget expenses, reconcile invoices & authorize vendor payments
● Collaborate with HR, Compliance and IT to set up all company-wide trainings
● May provide some executive support including calendar management, travel coordination & booking, expense tracking, meeting coordination & other special projects
● Will help in recruiting and placing new employees and assists with guiding employees through various human resource processes, answering any questions they may have about policies.
● Conducts audits of payroll, benefits or other HR programs and recommends corrective action.
● Assists with processing of terminations.
● Files documents into appropriate employee files.
● Assists or prepares correspondence as requested.
● Prepares new-employee files.
