PAY RANGE
$28.37 - $30.75 Hourly - Pay based on applicable experience and qualifications
POSITION OVERVIEW
The Office Coordinator is responsible for managing the front desk, ensuring a welcoming and organized environment for all visitors. This role includes handling phone calls, mail, deliveries, and various administrative duties. The Office Coordinator supports office management, oversees office supplies, and assists with event coordination.
Bilingual Requirement: Spanish and English preferred
ESSENTIAL DUTIES
Reception & Administrative Support
- Answer, screen, and route incoming phone calls appropriately
- Greet guests, announce their arrival, and ensure they are directed to the appropriate person or department
- Coordinate and manage meeting room and conference room schedules
- Monitor, maintain, and order office, quiet room, and kitchen supplies
- Distribute communications by receiving and forwarding mail, deliveries, and couriers
- Sort and distribute daily mail, manage deliveries to Union City and East Bay office
- Perform clerical duties such as filing, photocopying, and scanning
- Maintain daily office cleanliness and organization
Office Management
- Assist in planning and arranging company-wide events
- Support departments with administrative needs, event tasks, and projects as requested
- Coordinate semi-annual office clean up and offsite storage needs
- Coordinate annual holiday food and toy drives and monthly food events including Foster City office, Union City office, and East Bay office, and maintain the events calendar
- Prepare new employee entry access badges, upload pictures into ADP, and manage fobs for Foster City office
- Liaise with building property management regarding janitorial services, HVAC, and security fobs
- Coordinate with Office Lead vendors including vending machines, first-aid services, and secure destruction of paper and media
- Manage the New Vendor request mailbox account, obtaining required documents for current and potential vendors; enter, update, and maintain vendor
- Monitor and maintain vendor insurance compliance databases
- Process and code invoices for payment
- Performs other duties as assigned
QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed below are representative of the education, knowledge, skill, and/or ability required.
Education and Experience
- High School diploma or GED and one year of customer service and administrative experience, or an equivalent combination of education and relevant experience
Knowledge, Skills, and Abilities
- English and Spanish written and verbal proficiency preferred
- Ability to work collaboratively with team members across various departments
- Ability to handle sensitive information with discretion and maintain confidentiality
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively
- Ability to work independently with minimal supervision in a team-based environment
- Proficiency in office management software (e.g., MS Office)
- Must be well organized and detail-oriented
- Excellent communication and interpersonal skills
- Must possess a valid California Driver’s License, proof of current auto insurance, and reliable transportation

- Constantly perform desk-based computer tasks
- Frequently sitting
