Vietnamese District Office Administrator Job Profile
SUMMARY OF THE POSITION
As the Officer Manager of the Vietnamese District, also known as Giao Hat Viet Nam Hoa Ky, the individual assumes the pivotal role of strategically guiding and coordinating all administrative activities of the District Office. The primary objective is to provide efficient and effective services to the District Office in various key areas, including leadership support, office and facility management, event management, and assistance with both individual and church credentials.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provide administrative support to the District Superintendent and coordinate all administrative activities in the District Office, including correspondence management, scheduling and hosting appointments, arranging travel, purchasing decisions, and monitoring contracts and facilities.
- Assist the District Superintendent and the District Executive Committee regarding licensing and accreditation processes. This includes keeping records for ordination/consecration, tracking any legal documents essential for employment, and maintaining District and C&MA records with updated data and decisions.
- Assist the District Superintendent and the District Executive Committee in planning and managing various events such as the Annual District Conference and Bi-annual Pastoral Retreat.
- Assist the District Superintendent and the District Executive Committee with documentation necessary for church credentialing, including bylaws and policies, incorporation documents, property records, C&MA tax exemptions, and other relevant records required for accurate church classification.
ADDITIONAL DUTIES AND RESPONSIBILITIES :
- Conduct office meetings to encourage staff spiritually, facilitate staff Bible devotion, build team spirit and enhance team performance.
- Handle staff relations such as implementing the policies in the employment handbook, job posting, and up keeping employee records.
- Study needs and update the annual insurance policy with the insurance company.
- Establish and implement plans for security cameras (setup & monitoring), keys distribution, and key return.
- Contact vendors/contractors for regular maintenance and special repair tasks.
- Fulfill other duties as assigned.
EDUCATION AND REQUIREMENTS:
- College degree in Ministry or Business Administration
- At least 5 years of experience in an administrative or office support role
- Attention to detail
- Strong communication and interpersonal skills
- Excellent organizational and time management skills
- Proven ability to lead and manage a team
- Strong financial management skills
- Proficiency in using office software and database management systems
- Proficiency in both Vietnamese and English languages
