The Office Manager/Executive Assistant’s attention to detail, proactive communication, understanding of the client mission, and problem solving enables the organization’s success. The Office Manager/Executive Assistant is responsible for providing secretarial and administrative support to the CEO and senior staff. In this role, you will be the primary point of contact responsible for calendar organization and management, elevating the CEO’s time and ability to engage in high level work. The EA works one-to-one with senior staff on a wide variety of matters, assisting with scheduling, organization and administrative tasks, providing comprehensive support and strategic planning advice to our growing organization. The ideal candidate will have a warm and calm disposition, impeccable organizational skills, and ideally, has prior administrative experience at a startup or other small-scale organization.
Compensation: $80,000 - $90,000
Location: Purcellville, VA
Schedule: Monday – Friday, standard schedule with some flexibility
(1-2 possible domestic travel requirements per year)

Office Manager/Executive Assistant Responsibilities:
- Managing complex requirements in scheduling the CEO’s calendar, offering creative solutions utilizing an in-depth knowledge of the CEO’s priorities and his clients
- Exercising professional poise in diverse situations, with strong written and verbal communication, and the ability to balance multiple priorities
- Client communications (announcements, scheduling, alerting clients when contracts are up for renewal, sending proposals/contracts/invoices, etc.)
- Planning large events including budget creation and management, finding and booking venues, communications with clients, etc. Maintaining a master corporate calendar of all conferences, all-hands events, holidays, and vacations
- Assembling contracts from pre-built templates
- Trouble shooting routine technical and software issues in the office; maintaining the client database and digital filing system
- Arranging the CEO’s travel, hotel and dining as needed
- Taking dictation and meeting minutes, distributing them to appropriate parties
- Maintaining strong relationships with vendors and keep price data in order to get the best pricing on supplies and services
- Recommending and implementing efficiencies for the office and the CEO
Office Manager/Executive Assistant Education/Experience:
- 3-4 years working with Sr level or C- Level Execs
- Is goal oriented and organized, self-motivated and self-directed
- Maintains discretion with personal and confidential information
- Stays calm and on-task in high-performance situations and owns the results
- Has the ability to work at the headquarters in Purcellville, VA
- Has excellent time-management, interpersonal skills, and verbal and written communication skills with all stakeholders
- Has past experience and skill with Google Apps, CRM’s Microsoft Office Suite (Outlook, OneDrive, Word, PowerPoint, and Excel), basic bookkeeping and math skills
- A Bachelor’s degree is preferred
- Proficiency in using office software, including word processing, spreadsheets, presentation tools, and calendar management systems.
- Strong written communication and editing skills.
- Experience with board management software and tools is a plus.
