This position is Full-Time, Monday through Friday (no weekends)
Responsibilities: not to be considered all-inclusive
- Manage the office staff including performance coaching, coordination of time-off requests, and ensuring adequate staffing levels.
- Address all staffing-related issues (interpersonal, interdepartmental, interoffice, etc.).
- Coordinate bi-weekly payroll processing up to the calculation of hours worked.
- Conduct performance appraisals for all staff members.
- Work with staff at all levels to ensure operational issues are properly addressed and corporate policies are being followed.
- Monitor scheduling, treatment planning, and collections process and address any shortcomings with appropriate staff and additional training.
- Create and maintain standard processes and look for innovative ways to improve the efficiency of our care delivery and patient experience.
- Participate in the operational processes of scheduling, check-in, and check-out with the front office team.
- Serve as a resource for scheduling advice for front desk staff.
- Provide phone and office coverage of staff members when needed due to time off requests and unscheduled absences.
- Coordinate staff training for new and existing staff and follow up as needed.
- Conduct regular staff meetings to effectively communicate practice procedures, policies, and other issues to staff members.
- Handle credentialing document updates in coordination with Administration staff involved in credentialing.
- Maintain compliance with OSHA and other regulatory policies.
- Coordinate and supervise supply inventories and purchasing.
- Coordinate computer and filing needs for the offices.
- Outreach to referring doctors to streamline the referral process (ie. online portal)
- Maintain a positive office culture
- Report to the administrator of needs at the location related to staffing, equipment, space, etc.
- Report to the administrator on a monthly basis the state of the office and any issues that need to be addressed
- Assist the administrator and doctors as needed.
Knowledge, Skills, Abilities: Requires the ability to prioritize, organize, and delegate work effectively. Must have excellent oral and written communication skills. The Office Manager must be able to influence and manage staff successfully. Knowledge of computer software applications is required.
Minimum Job Requirements: A high school diploma or equivalent is required. At least two years of management experience and three years of medical/dental experience. Experience using Windows.
