About the Job
Position: Office Manager
Objective: The Office Manager is a critical role that supports 50+ office staff and field crew members. This individual will work closely with the back office to process timely and accurate payroll as well as administer human resources programs related to staffing/recruiting, training, and safety. The Office Manager provides administrative support for the business.
Responsibilities:
- Enter daily timesheets into QuickBooks; ensuring timecards are properly filled out and submitted on time.
- Enter payroll data into QuickBooks and payroll software company website.
- Recruitment of new staff; develop job postings, recruitment criteria, screen resumes, set interview appointments, process new hire documentation.
- Process off-boarding for terminating employees.
- Maintain employee files and recordkeeping; calendar tracking for employee milestones (e.g., reviews, probation periods, anniversaries).
- Update and maintain company handbook, personnel policies, and company-wide forms.
- Manage company insurance policies including worker’s compensation, general liability, professional liability, and automobile insurance.
- Track accident and worker’s compensation claims; point person for accident/incident documentation.
- Oversee the renewal of business licenses held within county/city jurisdictions.
- Provide administrative support to key managers of the business (e.g., correspondence generation, record keeping, file maintenance).
Qualifications & Specific Skills:
- Minimum 1 years’ experience in HR and payroll processing.
- Strong verbal and written skills in English and Spanish.
- High school diploma - A college degree in a related field is a plus.
- Strong familiarity with Microsoft Office Suite: Word, Outlook, Excel.
- Familiarity with QuickBooks is preferred but not required.
- A dedication to learning and improving company standards, procedures, and goals.
- Exercises good judgment and is accountable.
- Exceptional attention to detail, strong work ethic, punctual, ethical.
- Possess pertinent physical requirements commensurate with the job.
- Construction experience is a plus.
