Office Manager - Ultimate Staffing Services

Ultimate Staffing is seeking an Office Manager to join a client in Fremont. This is a temp-to-hire role or potentially direct hire. Hours are Monday - Friday 8:00 am - 5:00 pm. The position is 100% onsite.

Responsibilities:

• Oversee and support all office administration duties, ensuring smooth daily operations
• Manage office supplies and breakroom inventory, placing orders as needed for corporate headquarters and other offices.
• Plan and execute office layout improvements, equipment procurement, and facilities management to maintain office efficiency.
• Collaborate with HR to develop and implement office policies, creating procedures and standards to guide office operations.
• Act as front desk support, greeting visitors and managing inquiries.
• Manage the in-house mini-market, including placing orders, managing inventory, and handling reporting.
• Handle employee travel bookings and maintain organized travel itineraries.
• Track and manage HR spend, preparing periodic financial reports.
• Manage incoming and outgoing mail, as well as FedEx/UPS shipments.
• Assist with onboarding new hires, ensuring a smooth orientation process.
• Prioritize tasks, manage deadlines, and ensure follow-through on projects under pressure.

Qualifications:

• Bachelor's degree in Business Administration or a related field is preferred.
• 3+ years of experience in office management or administrative roles.
• Strong knowledge of office management responsibilities, systems, and procedures.
• Exceptional attention to detail and strong organizational skills.
• Ability to prioritize and manage time efficiently in a dynamic environment.
• Self-motivated, proactive, and able to work independently.
• Excellent communication and interpersonal skills.
• Proficient in Microsoft Office and Google Workspace products.
