About the Job
The Office Manager will be responsible for oversight of daily business activities of the Pulmonary Department to include oversight and training of all clerical coordinator staff and their job duties, inventory of department supplies and office equipment maintenance. The Office Manager is also responsible for oversight of registration, scheduling, filing, collection of necessary statistics, and staff training and supervision of above functions as necessary. The Office Manager will be instrumental in assuring positive staff efforts in improved customer service and patient satisfaction. The Office Manager must be prepared to work on any special projects, or other duties as assigned by the Leadership Team. This position will be instrumental in supporting the clinical and administrative operations of the facility and maintaining positive interpersonal relationships with both internal and external customers.
Requirements:
- Minimum of 2 years’ college education required
- Minimum of 5 years’ related experience in a healthcare office setting with responsibilities to include, but not limited to; patient account registration, billing, scheduling, prior authorizations and insurance verification.
- Minimum of five years of lead or supervisor experience or proven examples of leadership abilities
- Excellent interpersonal, oral and written communication skills
- Ability to work in and promote a team environment
- Ability to focus on hospitality practices in the healthcare environment
- Computer Skills, MS Office, healthcare EMR
Responsibilities:
- Monitors patient flow through the practice to ensure appropriate utilization of physician time and staff coverage.
- Overseeing the management of the provider/nurse visit schedules to ensure they are appropriately opened/blocked.
- Must have and maintain an excellent working knowledge of the registration systems and electronic medical records.
- Effectively assigns clerical coordinator staff responsibilities to assure appropriate and efficient office coverage.
- Provide general day-to-day guidance and support to staff; coordinate workflows; assist staff in problem-solving issues as they arise.
- Appropriately schedule patient appointments in Soarian Financials
- Perform appropriate patient follow up as it relates to the coordination of care to include, but not limited to; obtaining patient lab work, office notes, results, and other reports
- Willingness to take on new assignments and act as team member/leader.
- Ability to exercise initiative, sound judgment and problem solving techniques in the decision making process.
- Demonstrates ability to develop and maintain cooperative relationship with staff and related persons through effective communication on a daily basis.
- Develops and maintains effective communication between all levels of personnel.
- Obtains and disseminates information to staff as requested and necessary, ensuring communication at the highest level.
- Demonstrate working knowledge of all clerical coordinator activities pertaining to patient registration, appointment scheduling and confirmation, and medical record maintenance.
- Oversee appropriate use of computer and telephone equipment; assure that all office equipment is in good working order.
- Perform filing and maintenance of medical records.
- Oversee daily operation of business office activity pertaining to the accurate billing of patient insurance.
- Facilitates in gathering accurate patient billing information.
- Estimates the patient liability (copayments, deductibles, coinsurances, deposits, etc. via obtaining demographic and financial information.
- Properly receipting and forwarding all copies of patient payment receipts posted to the patient's account in Soarian Financials. Perform end of day duties closing and reconciliation duties in Soarian Financials and reconcile deposit slips.
- Handles all telephone calls and patient interactions (including patient complaints) in a professional and courteous manner. Provides insight, suggestions, ideas in assisting leadership team in the preparation of an annual operating and capital budgets.
- Return patient phone calls within 24-hours of receipt and proactively move any unresolved issues up the chain-of-command.
- Work in alignment with Pulmonary department.
- Other duties as assigned.

Salary Range: $20.21-$29.31 /hour Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location.
