Office Manager
Bishop & Company is seeking an Office Manager for a seafood distribution company in
Kahului, Maui.
Responsibilities:
- The Office Manager plays a crucial role in ensuring the smooth and efficient operation of the
office within a fast-paced seafood distribution environment. - This position oversees daily administrative functions, coordinates office activities, and supports management and staff.
- Key responsibilities include managing office supplies and inventory, communicating with vendors and customers, and maintaining accurate records and documentation.
- The Office Manager will also assist in preparing reports, managing schedules, and ensuring that all office procedures comply with company policies and industry regulations.
- This role requires strong organizational skills, attention to detail, and the ability to multitask in a dynamic setting.
- The Office Manager must be a proactive problem solver capable of managing a variety of tasks while supporting the company's overall goals. Strong communication skills are essential, as this role involves coordinating with different departments and facilitating smooth communication across the organization.
Essential Functions:
- Provide general administrative and clerical support, including mailing, scanning, faxing, and
copying documents. - Assist in maintaining office filing and storage systems.
- Maintain inventory of office supplies and place orders when necessary.
- Handle incoming calls, emails, and other communications, redirecting them when appropriate.
- Assist in the onboarding process for new employees.
- Liaise with internal staff at all levels.
- Perform basic customer service functions, like answering questions or responding to inquiries.
- Manage order delivery timeliness. Invoice clients and process payments.
- Become experts on company products and services. Communicate customer feedback.
- Process daily accounting, including reconciliation of payable accounts, tracking, and managing
inventory. - Compile sales reports and monitor sales efforts.
- Receiving and processing purchase orders. Issuing sales transaction invoices.
- Verifying orders, including customers' personal information and payment details.
- Contact customers by phone or email to answer queries and obtain missing information.
- Maintaining and updating sales and customer records.
- Directing feedback from customers to relevant departments.
- Identifying new products to add to those on offer.
- Supporting the sales department with other administrative tasks, if requested.
- Staying current on social media trends and creating ideas that can help tell our story.
- Brainstorming new and creative growth strategies through digital marketing.
- Understand content management and how to post through Facebook and Instagram.
- Development of brand identity, awareness, and online reputation.
- Assisting in various projects, such as launching new products and marketing campaigns.
- Conduct market research to understand the marketing needs of the organization better.
- Overseeing all digital marketing tools for an email campaign and social media content.
- Analyze sales data and prepare data reports in a clear format.
Minimum Qualifications:
- High school diploma: A college degree is preferred. A minimum of two years of warehouse or inventory management supervisory experience is required.
- A valid driver’s license is required.
- Must be able to communicate agendas and messages both verbally and in writing effectively.
- Competent in computer skills: Microsoft Office Applications (Excel, Word, and Outlook).
- Excellent written, verbal, analytical, and math skills.
- Ability to work efficiently under pressure, meet deadlines, and maintain a high degree of judgment, especially when working with confidential information.

Working Conditions:
- The employee in this position works primarily in the office and warehouse with the following characteristics:
Office- moderate to light levels of office noise
Warehouse – ambient temperature, non-air conditioned
Fluorescent lighting - Operations hours are from Monday, Wednesday to Saturday (days/wk.); long hours required
Hours may vary due to business needs and holidays.
