Job Summary:
The Office Manager will play a crucial role in managing the day-to-day operations of our real estate company. This position requires a highly organized and detail-oriented individual who can coordinate various operational tasks, support process management, and facilitate effective communication across departments. This individual has the ability to flex between different facets of the company's operations (such as vendor relations, HR, and financial reports).

Key Responsibilities:
Operational Support
Operational Support
- Daily Operations: Assist in managing the day-to-day operations of the company, ensuring that tasks and processes are executed efficiently and in accordance with company policies.
- Task Coordination: Coordinate and support various operational tasks and activities, including scheduling, resource allocation, and workflow management.
Process Management:
- Process Implementation: Assist in implementing and maintaining operational processes and procedures. Ensure that processes are followed and make recommendations for improvements.
- Documentation: Maintain accurate and up-to-date documentation for operational procedures, policies, and workflows. Ensure that all relevant documents are easily accessible.
- Communication & Coordination
- Internal Communication: Facilitate communication between departments and ensure that information is effectively shared across the organization. Act as a liaison between the operations team and other departments.
- Meeting Coordination: Schedule and coordinate meetings, including preparing agendas, organizing materials, and documenting meeting outcomes. Ensure follow-up on action items.
Project Support:
- Project Assistance: Provide support for special projects and initiatives, including research, data collection, and coordination of project tasks. Assist in tracking project progress and reporting on status.
- Project Documentation: Prepare and maintain documentation related to projects, including project plans, timelines, and reports.
Data Management & Reporting:
- Data Collection: Collect and organize data related to operational performance, metrics, and key performance indicators (KPIs). Ensure data accuracy and integrity.
- Reporting: Prepare reports and summaries on operational performance, project status, and other relevant information. Provide insights and recommendations based on data analysis.
Administrative Support:
- Administrative Tasks: Perform administrative tasks as needed, including managing correspondence, maintaining files, and handling office supplies and equipment.
- Scheduling: Assist in scheduling appointments, meetings, and events. Coordinate logistics and ensure that all arrangements are in place.
Customer & Vendor Relations:
- Customer Support: Provide support for customer service operations, including addressing inquiries and resolving issues. Ensure that customer needs are met effectively.
- Vendor Coordination: Assist in managing relationships with vendors and service providers. Coordinate services, track performance, and ensure compliance with agreements.
Compliance & Risk Management:
- Compliance Support: Assist in ensuring that operational activities comply with company policies, procedures, and regulatory requirements. Help address compliance issues as they arise.
- Risk Management: Support risk management efforts by identifying potential issues and assisting in the development of mitigation strategies.
Process Improvement:
- Efficiency Improvements: Identify opportunities for process improvements and efficiency gains. Make recommendations for changes and assist in implementing new procedures.
- Technology Utilization: Use technology and tools to streamline operations and enhance productivity. Support the adoption of new systems and technologies as needed.
Human Resources Support:
- Recruitment Assistance: Assist in the recruitment process, including posting job openings, screening resumes, and scheduling interviews.
- Onboarding: Support the onboarding process for new hires, including preparing onboarding materials and coordinating orientation sessions.
- Employee Records: Maintain accurate and up-to-date employee records and assist with HR documentation.
- Training Support: Assist in training new employees and providing ongoing support to existing staff. Ensure that team members are familiar with operational procedures and best practices.
- Knowledge Sharing: Promote knowledge sharing and collaboration within the operations team. Provide support and resources to enhance team skills and capabilities.
Finance Support:
- Invoice Processing: Assist in processing invoices and ensuring timely payments to vendors and service providers.
- Expense Tracking: Track and report on operational expenses, ensuring accuracy and compliance with budgetary guidelines.
- Financial Reporting: Support the preparation of financial reports and summaries for management review.
Qualifications:
- Associate’s degree (or higher) in Business Administration, Operations Management, or a related field. Relevant work experience may substitute for education.
- Proven experience in an operations or administrative role, preferably within the real estate industry.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to work independently and as part of a team.
