Pay: $45-50 per hour
Our client, a leading venture capital firm with an office in San Francisco, specializing in early-stage investments in cutting-edge technology, startups, and innovative businesses, is looking for an Office Manager.
We are seeking an experienced and proactive Office Manager to manage the day-to-day operations of our client's San Francisco office. The ideal candidate will be responsible for overseeing facilities management, coordinating events, and ensuring the smooth operation of the office to support our fast-paced and dynamic team. This role requires a hands-on approach and a passion for creating an organized, efficient, and welcoming workspace.
Facilities Management:
- Oversee the overall maintenance and operations of the office, ensuring a clean, organized, and efficient work environment.
- Manage relationships with vendors and service providers (cleaning, maintenance, IT support, office supplies, etc.).
- Coordinate office seating arrangements and manage space planning to accommodate team growth.
- Ensure health and safety compliance, including emergency preparedness and equipment maintenance (e.g., fire alarms, security systems).
- Manage office budget related to supplies, services, and facility upgrades.
Event Coordination:
- Plan and execute internal and external company events, including team meetings, investor gatherings, networking events, and special office functions.
- Manage logistics for all events, including scheduling, venue selection, catering, AV setup, guest lists, and more.
- Work closely with the leadership team to support events with partners, portfolio companies, and investors.
- Provide support for virtual events, ensuring seamless execution across platforms.
Office Administration:
- Serve as the first point of contact for office-related inquiries and requests.
- Manage front desk operations, including greeting visitors and handling incoming communications.
- Maintain and track office inventory and supplies, ordering as needed.
- Manage travel arrangements for the team, including booking flights, hotels, and transportation.
- Assist with onboarding new employees by setting up workstations, equipment, and providing a welcoming orientation.
Qualifications:
- 3+ years of office management or facilities management experience, preferably in a venture capital, finance, or tech environment.
- Bachelor's degree.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to multitask and manage multiple projects in a fast-paced environment.
- Experience planning and coordinating events, from small gatherings to large conferences.
- Proficiency in office technology (MS Office, Google Workspace, project management tools, etc.).
- A proactive and solution-oriented mindset with the ability to anticipate needs and prioritize tasks.
- Experience working with executive teams and providing administrative support is a plus.
