Specific Responsibilities:
- Design and implement office /administrative systems and protocols that anticipate and stay in front of the growth trajectory
- Manage implementation of technologies specific to the administration of office systems and protocols, maintaining strict data integrity
- Manage customer relationship management (CRM) program
- Handle incoming calls, take messages, forward phones for afterhours calls, retrieve phone upon arrival each day
- Become proficient using proprietary business management software and industry specific programs
- Manage weekly bookkeeping
- Prepare financial reports
- Assist in collecting overdue receivables
- Assist in development of strategic goals
- Assist in development of annual budget
- Assist in managing cash flow
- Assist in job scheduling
- Manage meeting planning and preparation
- Manage Safety Committee
- Manage annual licensing, regulatory, insurance and industry renewals
- Perform HR duties including compliance, risk management, onboarding, background checks, training, t-sheets compliance, performance reviews, etc
- Hire and train office staff as needed
- Manage employee tech i.e. cell phones, email, apps, device access, and user compliance
- Lead in promoting the company vision and goals. Coordinate recognition and celebrations for individual and team successes.

Job Requirements:
- Minimum 3 years Office Management with experience scaling office systems and protocols for growth
- Must be a self-motivated, self-directed, and confident leader, committed to success
- Ability to organize, plan and implement office systems and protocol
- Impeccable attention to details. Accurate and thorough data input
- Demonstrates advanced proficiency in the use of QuickBooks, Office365, Teams, Outlook, Word and Excel
- Must have strong written and verbal communication skills
- Must be legally authorized to work in the US
- Must have valid drivers license
- Must have reliable transportation
- Must be willing to take and pass annual criminal background checks
Extra Points:
- Experience with Xactimate and/or Symbility Estimating Software is desirable but not mandatory
- IICRC Certifications are desirable but not mandatory
- Background in Commercial Construction or Commercial Services is highly desirable.

Working Conditions:
The work for this position is in person and predominantly carried out in an office environment. Daily exposure to the shop where vehicles and equipment are housed and maintained is expected. Occasional job site exposure is expected.
Noise level in the work environment is usually quiet.
Current Benefits:
The pay range for this position is $24-$30 per hour.
PTO, Paid Health/Dental insurance
Expected Hours: 40-45 per week.
Schedule: Monday through Friday
