Position: Office Services Clerk
Location: Salt Lake City, UT (Onsite)
Pay: $55,000 to $65,000 annually
Experience: 2+ years of customer service experience, preferably in a law firm setting, to provide support in digital and delivery services and general facilities support.
Education: Bachelors degree is preferred.
Type: Full-time; Direct Hire
Schedule: Day Shift, 9:00am to 6:00pm (Flexibility for OT)
Kent Daniels & Associates is seeking an Office Services Clerk to join our dynamic law firm client!
Job Description:
- Candidate will receive, sort, and deliver incoming mail/packages; process outgoing mail; deliver incoming courier envelopes/packages; arrange/process courier envelopes/packages; coordinate all incoming/outgoing mail for scanning then deliver parcel to the addressee; track courier and accountable items (FedEx, UPS, Certified Mail); prepare/process inter-office pouches.
- Maintain, clean, and stock inventory of departments supplies and kitchen/pantry areas.
- Maintain accuracy of required reports, logs, and measurements.
- Facilitate office moves and prepare office space for new personnel arrivals.
- Create ID badges for new personnel/visitors; collaborate with Operations team to schedule, assist, report, and follow up on building maintenance requests; collaborate with IT and Conference Services in coordinating events.
- Manage and update all documents and files related to repairs, utilities, permits, and maintenance.
- Process invoices related to facilities and mailroom activities, create requisition forms, process purchase orders, monitor order status, including prepare, execute and track vendor service contracts.
- Keep track of all meetings/events in office and direct callers and visitors; add guest names to building security website to allow building access; and arrange for temporary internal IDs for visiting attorneys.
- Other duties include monitoring meeting start times to ensure rooms are vacated on schedule.
- Check visitor offices prior to guest arrival, ensure correct set up.
- Handle digital services requests (operating production printers, scanners, copiers, binding machines); prepare, scan, and reassemble original documents.
- Perform quality control checks on print jobs including print quality, job alignment, paper stock, and material used.
- Cross train in all areas of production such as printing, copy, binding, cutting, drilling, and folding.
- Manage and stock supplies for all MFD equipment.
Position Requirements:
- Proficiency in Microsoft Office (Word, Outlook) is required.
- Must have excellent communication and customer service skills.
- Ability to work in a fast-paced environment, have a proactive work ethic and have attention to detail.
- Must maintain a positive and professional appearance, including excellent telephone etiquette.
