About the Job
The Strategic Systems Leadership division within Human Services and Public Health is hiring either a Somali or Spanish bilingual Office Specialist III. Daily tasks include greeting residents, checking in residents, ensuring residents are routed to appropriate onsite service, assisting in the Technology Access Space, and onsite accounting services. Assignments are delegated by the Supervisor and/or the Principal Office Specialist to ensure continued onsite coverage of various tasks.

Location and hours:
This position will be on-site at the Health Services Building Central Northeast Human Service Center at 525 Portland Avenue South, Minneapolis, MN 55415. Work hours are Monday through Friday, between 8 a.m. and 4:30 p.m.

- Meet and screen clients; assess their needs by asking predetermined questions to assist teams in determining appropriate next steps.
- Process and/or update data in the various state and Hennepin County systems.
- Attend and participate in monthly staff meetings; update and assemble procedure manuals; maintain inventory and order office supplies, forms, and packets as needed.
- Assist with coverage as assigned at the various Human Service Centers/satellite offices located in Brooklyn Center, North Minneapolis, Downtown Minneapolis, South Minneapolis, and Bloomington.
- Schedule meetings and check calendar availability for meetings using Microsoft Outlook.
- Issue, record, and/or research Electronic Benefit Transfer (EBT) cards.
- Issue and record emergency payment authorization checks and pay cards to residents/workers.
- Process physical and digital mail, replacement checks requests, claim benefit overpayments and Medical Assistance for Employed Persons with Disabilities (MAEPD) payments.
Need to have:
- One of the following:
- Two years or more of office clerical experience.
- Two years or more of related post-high school education.
- 18 months or more of office clerical experience and completion of the Office Specialist Pathway Training program.
- One year or more of office clerical experience and completion of the Human Services Pathway Training Program.
- Ability to communicate fluently in Spanish or Somali in addition to English, both verbally and in writing.
- Experience:
- Using good organizational and communication skills.
- Using databases and the ability to perform data entry where accuracy and productivity are essential and required.
- Working with computers and knowledge of Microsoft Office applications such as Outlook, Word, Excel, and SharePoint.
- Working with MAXIS, ECF, and Q-Flow.
- Ability to:
- Assist residents, community partners, and staff members with tact and discretion.
- Work with clients who do not speak English.
- Handle multiple problems and assignments simultaneously, and work independently with minimal direction.
- Proofread numbers, correspondence, and other written materials for spelling, grammar, and format accuracy.
- Recognize and respect cultural differences and provide culturally appropriate services.
- Perform administrative tasks such as taking meeting minutes on a rotating basis for unit meetings, helping with special projects or other tasks as assigned.
Bilingual candidates who pass a language assessment may qualify for additional differential bilingual pay and duties.
