Job Summary
Office Support Associates are often engaged in the production,
processing of documents, transactions, and other duties that support the
activities and staff of the Siebel School of Computing and Data Science.
This position works under general supervision to perform administrative
tasks requiring knowledge of general office and School policies and
procedures and the ability to operate a variety of office equipment.
Duties & Responsibilities
Provide support for faculty and their students. This may include:
- Determine needs and personally handle routine inquiries, requests,
or problems.
- Gather, request, or provide factual information requiring reference
to a variety of sources such as explaining procedures, schedules, or
gathering product information including verbal and written
activities.
- Arrange internal and external meetings and appointments for faculty
members by scheduling times, reserving rooms, and coordinating
activities using sound judgment concerning priorities and time
limits.
- Maintain an electronic file of the faculty biographical data forms.
- Make travel arrangements, which generally involves airline and hotel
reservations as well as transportation to and from destinations.
- Provide support for students including: conference registration,
travel, tracking appointments, and purchasing research supplies.
Handle various arrangement details for visitors hosted by faculty
members, including guest speakers and candidates for faculty positions.
Make airline, hotel, and other travel reservations and arrange
transportation to and from destination(s). Create itineraries for the
visits, as needed.
Work with the school business office on requests for purchasing, travel
reimbursement, and other school functions related to University
requirements.
Serve as back-up during the absence of other faculty support staff
members.
Perform additional appropriate duties to further the mission of the
school.
Minimum Qualifications
1. High school diploma or equivalent.
2. Any one or combination totaling eighteen (18) months from the
categories below:
A. College coursework in any curriculum as measured by the following
conversion table or its proportional equivalent:
30 semester hours equals one (1) year (12 months)
Associate's Degree (60 semester hours) equals eighteen months (18
months)
B. Work experience performing office/clerical activities, including the
use of computer systems.
Knowledge, Skills and Abilities
- Computer literacy.
- Strong written and verbal communication skills.
- Demonstrated attention to detail.
- Ability to understand and apply department and university policies
and procedures.
Appointment Information
This is a 100% full-time Civil Service 0846 - Office Support Associate
position, appointed on a 12-month basis. The expected start date is as
soon as possible after the close date. This is a bargained position and
as such, the salary is driven by the collective bargaining agreement.
The entry-level salary for the Office Support Associate
classification is $36,901.80 ($18.924/hour). Sponsorship for work
authorization is not available for this position. Hybrid work options
may be available for this position after the training period, with the
ability to be on-site as needed.
