The Onboarding Specialist provides “white-glove” service to new hires, ensuring a positive onboarding experience.The role is responsible for the proactive coordination of all screening, regulatory compliance activities, and records for new hires from the time a signed offer letter is received until their first day of employment.
What You'll Do
- Serve as primary point of contact for new hires once a signed written offer is received, ensuring timely communication and effectively addressing any questions or concerns.
- Work closely with HRIS, Human Capital, Talent Acquisition (TA), IT, and other teams to ensure all pre-employment activities are completed.
- Data entry and auditing of all pre-hire information in the Human Capital Management System (HCMS) with a minimum 95% accuracy rate; targeting 100% accuracy.
- Participate in tracking and monitoring preboarding activities and work with stakeholders and department leaders to resolve and improve any transition issues.
- Support new hires during their transition to ensure a positive onboarding experience.
- Assist in scheduling appropriate orientation dates for new hires.
- Maintain internal communication reports to communicate new hires to the Training, IT, HR, and other internal teams to ensure each team sets up the employee appropriately.
- Use HR general practice knowledge to guide new team members through the new hire process.
Education/Experience and Other Requirements
- High-school diploma or GED (Associate's degree strongly preferred).
- 2 years of HR experience.
- 1 year of preboarding/onboarding experience.
- 2 years of UKG/Kronos ATS experience (strongly preferred).
- Startup experience (strongly preferred).
- Ability to work overtime on occasion.
- Willingness to submit to drug and background screenings.
- Experience making relevant process improvement recommendations.
- Accuracy and attention to detail in all forms of documentation and communications.
- Ability to prioritize and regularly assess competing expectations.
- Proficiency in all types of communication – verbal, written, and interpersonal.
- Ability to think independently while effectively working in a fast-paced, team-oriented environment.
- Exceptional time management and organizational skills.
- Ability to use discretion when handling sensitive information.
