Operational Compliance Specialist II
Onsite role - San Diego, CA
The Operational Compliance Specialist at the BR site in San Diego, CA will be responsible for performing various shipping and receiving tasks. This includes receiving, checking in, and distribution of inbound orders to end-users. The specialist will also need to ensure the accuracy and maintenance of incoming and outgoing shipping and receiving records. In addition to these responsibilities, the specialist plays a crucial role in supporting the compliant import and export activities of BR in accordance with applicable local, federal, and international laws and regulations pertaining to international trade as well as adhere to Client policies and standards.
Major accountabilities:
Scientific Sample Management situated within the Scientific Operations (SO) organization, is responsible for providing integrated programs and services that support our scientific community, and has a mission to enable the Client Institutes for BioMedical Research's (NIBR) lab scientists to focus on science through holistic lifecycle research material management ensuring compliance with business, legal and regulatory requirements. ICM consists of four sub-functions and this role provides support in Trade Compliance (TC) and Shipping & Receiving
Responsibilities include:
Reviewing and approving export requests to ensure compliance for export/import transactions, accurate and complete export/import documentation, determination of export/import license, issuance of shipper's letter of instruction, filing Electronic Export Information, and records retention.
Verifying shipment documentation of research compounds for proper valuation, classification, country of origin, and record retention.
Collaborating with customs brokers, suppliers, and service providers to ensure consistency with defined import/export processes.
Inputs orders into the shipping software for national and international orders for carriers including FedEx, UPS, DHL, and freight shipments.
Providing support to US-BR Shipping Desks and associates in resolving shipment related matters.
Knowledge of HTS codes, values, and regulations to ensure accuracy and completion of shipping documents needing submission to or from FDA, USDA, and brokers.
Ensuring that all operating systems, files, and databases relevant to import/export activities are updated and maintained.
Liaising with all BR sites to establish standard import and export requirements.
Organizing and maintaining warehouse safety.
Keeping accurate records of all shipments and transactions.
Inspecting incoming packages and distributing them to recipients.
Packaging outgoing shipments in accordance with DOT and IATA regulations.
Assisting in the development, implementation, and review of SOPs and WPs related to shipping and receiving.
Performing any other duties as required.
Key performance indicators:
Maintains import/export compliance program updates within required time period
Risks identified and escalated
Provides consistent and high-quality technical support
Proactively meets and exceeds customer service expectations
Minimum Requirements:
Work Experience:
Functional Breath
One plus years of experience in shipping preferred.
Experience with shipping carrier systems including AES, FedEx, DHL & UPS preferred.
Proficient in MS Office (Word, Excel, Outlook, PowerPoint).
Training/Certifications (Optional):
Hazmat Ground Shipper Certification (DOT)
Hazmat Air Shipper Certification (IATA)
Skills:
Ability to work in a team environment.
Ability to follow instructions and complete additional responsibilities.
