Position: Operations Administrator
Inceed has partnered with a great company to help find a skilled Operations Administrator to join their team!
The Project Administrator will be responsible for providing essential support to Project Managers, the Core Support team and internal stakeholders. This role will focus on managing various administrative and accounting functions, ensuring compliance, and maintaining organized project records. This is an excellent opportunity for someone with a strong attention to detail and experience in project support to work in a dynamic environment. The ideal candidate will be a proactive problem solver with the ability to work both independently and collaboratively, contributing to the success of multiple projects.
Responsibilities:
- Assist Project Managers in preparing, reviewing, revising, and issuing monthly client invoices in a timely manner.
- Perform project setup, ensuring all phases and related elements are correctly associated and organized.
- Maintain compliance with project reporting requirements and support the organization of project documentation.
- Facilitate project closeout by completing required tasks and coordinating with relevant team members for archival.
- Support the maintenance and accuracy of CRM records related to project timelines and contract details.
- Assist with the drafting and processing of subconsultant contracts, invoices, and other related documents.
- Manage the collection of receivables and provide necessary follow-up to ensure timely payments.
- Support contract record maintenance, compliance, and coordinate necessary reviews, approvals, and signatures.
Required Qualifications & Experience:
- Strong skills in Microsoft (Outlook, Word, and Excel)
- Experience in assisting with project scopes, schedules, and budgets.
- Excellent verbal and written communication skills for effective interaction at all organizational levels.
Nice to Have Skills & Experience:
- Prior experience in project administration or support roles.
- Strong organizational skills and attention to detail.
