Responsibilities Administrative • Manage executive calendars, schedule appointments, and coordinate meetings. • Prepare and edit correspondence, presentations, reports, and other documents. • Handle incoming calls, emails, and inquiries with professionalism and discretion. • Organize and maintain filing systems electronically. • Assist with special projects, research, and data analysis as needed. • Manage insurance policies, credit cards, and subscriptions. • Handle travel schedules, mailing and scanning of tax documents, and general remote office management. • Complete expense reports for key team members and office operations. • Management of IT consultant for company technology needs. • Personal assistance to key team members as needed. • Manage and monitor company licenses. • Plan and execute office events, meetings, and team-building activities. • Implement and enforce office policies and procedures to promote efficiency and compliance. • Review the latest technologies and provide recommendations for company optimization. • Be the go-to liaison for internal team used software such as Wrike. • Work with the third party Human Resources group to keep the company up-to-date on all HR policies. • Plan quarterly company offsites and holiday party, including any team gifts. Investor Relations • Prepare investment materials, presentations, and reports for investors and stakeholders. • Writing and preparing formatting for investor related memorandums. • Coordinate investor meetings, conference calls, and annual meetings through an investor database software. • Handle core event management, data management, mailing list management, and special ad hoc projects. • Maintain investor databases and records, ensuring accuracy and confidentiality. • Foster positive relationships with investors to enhance satisfaction and retention. • Facilitate holiday gifts for investors and the team. Marketing • Assist in creating marketing materials, including brochures, flyers, and digital content. • Manage LinkedIn account by creating content and fostering an online presence to engage with stakeholders and promote brand awareness. • Manage company website content and design. • Facilitate public relations through press releases with third-party vendors, company offsites, coordination of asset photography, and more. Real Estate • Work with Asset Management to create market surveys by calling competitor properties and putting together a recurring report. • Work with the team to support on ad hoc projects using Excel. Qualifications • Bachelor's degree in business administration, real estate, marketing, human resources, or related field preferred. • Ability to maintain a positive attitude and pivot quickly as needed. • Exceptional organizational and multitasking skills. • Excellent communication and interpersonal skills with the ability to interact effectively with diverse stakeholders. • Must display a high level of professionalism in person and on the phone. • Proficiency in Microsoft Office Suite and other relevant software applications. • Basic knowledge of Excel. • Knowledge of investor relations, marketing principles, and human resources practices. • Ability to maintain confidentiality and handle sensitive information with discretion. • Flexible, adaptable, and able to thrive in a fast-paced, dynamic environment. • Able to prioritize multiple projects at once and meet deadlines. • Must have strong communication, written and verbal skills. • From time-to-time, this position will require outside of standard business hours assistance when facing critical deadlines
